Position Overview

The following is intended to describe the general nature and level of work being performed. This list of duties is illustrative only, and is not a comprehensive listing of all the functions and responsibilities performed.

POSITION SUMMARY
Under the direction and supervision of the Chief Business Officer the Accountant/Deputy Chief Business Officer is responsible for the reporting, operation, and support of multiple activities within the Business Office and Campus departments. This employee ensures compliance with Generally Accepted Accounting Principles, New Mexico Statutes, University Policies and Procedures, and supervises and/or collaborates with other Business Office staff. This role will work closely with System Business Office staff in Portales. This position will also fulfill administrative duties within the Business Office in support of the CBO and in fulfillment of the organizational mission.

DUTIES and RESPONSIBILITIES:

  • Provide financial information to management by researching and analyzing accounting data.
  • Prepare and analyze accounting and reconciliation reports on a monthly and ad hoc basis including accruals.
  • Perform record keeping tasks such as verifying receipts and statements for travel.
  • Prepare bank reconciliations and investment reconciliations.
  • Organize and maintain office files including confidential materials and computer files.
  • Prepare correspondence as needed within the department.
  • Assists in monitoring the fixed asset inventory and worksheets, working with the physical and financial sides of property control.
  • Update, maintain, review, and analyze pre-paid items and year-end items.
  • Reconcile bookstore invoices to general ledger.
  • Assist the Director of Accounting, Grants, Accounting Manager and the Chief Business Officer as needed in fiscal year-end closing.
  • Assist Payroll Supervisor with payroll system and payroll related items including review of payroll liability accounts and working with Payroll Supervisor on resolving any discrepancies.
  • Data entry from business office documents as necessary.
  • Prepare journal entries and reclassifications as necessary.
  • Functions as support and backup for Accounts Payable.
  • Assist in vendor review and preparation on 1099 tax forms and end of calendar year IRS forms as well as 1098-T student tax forms.
  • Perform general accounting duties.
  • Follow upon vendor account statements and other discrepancies regarding payment.
  • Ensures internal and external audit requirements are met in alignment with ENMU system.
  • Support administrative Business Office functions on-campus, within the ENMU System, with local municipalities, or with the State or Federal Government.
  • Understand and contribute to strategic planning and goals for the financial strength of the organization.
  • May provide supervision for select Business Office staff.
  • Performs other duties as deemed necessary or assigned and assist the business office as needed.

KNOWLEDGE, SKILLS and ABILITIES:
  • The person must be detail oriented and have a working knowledge of Generally Accepted Accounting Principles and the ability to analyze and solve problems, perform reconciliations, review vendor statements, payment histories and other associated reviews.
  • Demonstrate an understanding of accounting principles and the ability to read and analyze financial statements and reports.
  • Must have an understanding of general ledgers and chart of accounts.
  • Demonstrate excellent oral, written, and interpersonal communication skills.
  • Demonstrate a general understanding of the payroll function, process, and procedures including required tax filings and timely payments.
  • Demonstrate competencies in management and leadership of Business Office staff.
  • Proficiency in understanding and the use of personal computers and multiple software systems.
  • Excellent computer skills including database management, Excel Spreadsheets and Workbooks, file-sharing servers and other software usage.
  • Comply with and follow all procedures within the University security policies.
  • Understands the designation Hispanic Serving Institution and its significance for institutional practices.


Requirements

MINIMUM REQUIREMENTS:

  • A Bachelor's Degree in Accounting or closely related field, with a minimum of five years of experience in a Business Office or Accounting Department setting.
  • This is a security sensitive position and the ability to maintain confidentiality is required.

PREFERRED QUALIFICATIONS:
  • Knowledge of Banner Educational Software.
  • Knowledge of University and State policies, procedures, requirements ,and regulations.
