Position Overview
Primary Purpose of Position |
Executive Assistant Position is to provide complex administrative assistance to support the Assistant Provost of Student Success and Academic Support and Director of the Center for Academic Excellence (
CAE). The position involves executive management to include screening calls, managing calendars, making travel, meeting and event arrangements, preparing reports and financial data; training and supervising other support staff, and customer relations. The Executive Assistant reports directly to the Assistant Provost for Student Success and Academic Support. |
Primary Function of Organizational Unit |
CAE is a unit providing academic support services to help students excel academically and cultivate life skills critical to timely graduation and global citizenship. To accomplish its mission,
CAE offers a wide-range of services and programs that promote student success, such as centralized academic advising, supplemental instruction, peer mentoring, tutoring, etc. The unit collaborates with various academic units to reinforce academic expectations and address factors that affect student success and graduation. |

- Applies knowledge of the various programs, policies and procedures within the Center for Academic Excellence; exhibits ability to effectively and efficiently interpret and communicate information to meet the specific needs of students, staff, faculty, visitors and clients in regards to academics and objectives of the department
- Displays the ability to work with confidential and sensitive information related to the Center for Academic Excellence under the guidance and direction of the Assistant Provost and Assistant Directors
- Serves as front-line contact for Center for Academic Excellence; professionally meet and greet a diverse population of students, faculty, staff, visitors, and clients and direct them appropriately according to their specific needs, both internal and external
- Ability to present ideas clearly and effectively in written form; ability to edit, adjusting language or terminology to meet needs of the audience or as appropriate; ability to use correct grammar, organization, and structure.
- Maintain log of all issues reported in the generic voice and email mailboxes
- Schedules appointments for the Executive Director and maintain calendar as well as managing work to meet specific timelines and deadlines
- Manages and updates the Executive Director's Office contact information
- Coordinates all meetings for the Executive Director

- Manages Human Resources related documents on positions reporting to Assistant Provost and Assistant Directors within the Center for Academic Excellence
- Completes, verifies and review forms and reports for the completeness and conformance for the Assistant Provost
- Oversees and completes Internal Salary Authorization Forms for the Assistant Provost and Assistant Directors in the Center for Academic Excellence
- Serves as payroll proxy to approve time sheets for the Assistant Provost and Assistant Directors for the Center for Academic Excellence
- Prepares and process all travel authorization requests and reimbursement forms for the Assistant Provost and Center for Academic Excellence staff
- Schedules all events and activities in the Academic Classroom Building using 25Live
- Provides assistance to all Coordinators of scheduled events in the Academic Classroom Building
- Uses Banner INB to efficiently schedule all academic classes for the Academic Classroom Building
- Ability to compile, assimilate, organize, and analyze printed and electronic information. Ability to apply knowledge of data research and manipulative analysis.

- Accesses the Center for Academic Excellence financial budgets; monitors/tracks budget balances and expenditures using Banner Finance and Aggie Mart; responsible for all purchases and requisitions using the Center for Academic Excellence's funds
- Prepares budget documents (i.e. budget revisions, etc.) for Center for Academic Excellence as instructed by the Assistant Provost and Assistant Directors
- Plans and monitors the use of expenditures to meet organizational objectives and compliance; prepares budget documents and reports.
