Are you a detail-oriented professional with a passion for finance, procurement operations, and continuous improvement? We are seeking a Purchase Order (PO) Coordinator to provide end-to-end operational support for our Marketing Procurement team.

In this role, you will play a key part in managing inbound requests, ensuring advertising agency and marketing vendor spend is accurately budgeted, coded, contractually aligned, tax-compliant, and processed smoothly through SAP Ariba. Working within a collaborative, shared-services team environment of ~12 members, you will directly manage a high volume of business requests (~1,000 annually) while helping to build and optimize net-new business processes.

Key Responsibilities

  • Requisition & PO Management: Prepare, process, and manage purchase requisitions and PO requests in SAP Ariba; track open POs and non-PO payments from initial intake to final invoice resolution.
  • Budget & Estimate Review: Review agency and vendor estimates to determine appropriate business units, expense categories, tax treatments, and accounting codes in partnership with Finance and Marketing analysts.
  • Cross-Functional Collaboration: Partner closely with Marketing, Finance, Purchasing, Procurement, Tax, and SAP GBS (Global Business Services) to ensure compliance, clear contract alignment, and accurate documentation.
  • Vendor & Stakeholder Support: Serve as the primary point of contact for Marketing stakeholders and external vendors; troubleshoot invoice rejections, correct submissions, and resolve payment bottlenecks.
  • Process Automation & Improvement: Leverage workflow technologies and approved AI tools to streamline intake, identify duplicate or incomplete requests, reduce cycle times, and build self-service resources (FAQs, user guidance, dashboards).

What Makes This Opportunity Unique?

  • Build Net-New Processes: Play an active role in establishing and refining brand-new operational workflows for a large-scale marketing organization.
  • Comprehensive Onboarding: Comprehensive two-week structured training provided directly alongside the Finance team upon starting.
  • Professional Growth: Gain valuable exposure across Finance, Purchasing, Tax, and Marketing functions within a Fortune 50 enterprise environment.

Candidate Qualifications & Requirements

  • Experience: 2 to 4 years of experience in purchase order management, invoicing, accounts payable, or procurement operations.
  • Technical Skills:

    • Strong proficiency with SAP Ariba (or equivalent enterprise procurement systems).

    • High comfort level with Microsoft Office Suite and/or Google Workspace.

  • Education: Bachelor's degree in Business, Finance, Accounting, or a related field (equivalent professional experience will be considered).
  • Core Competencies:

    • Top-tier attention to detail when working with budget allocations, accounting codes, and financial data.

    • Strong written and verbal communication skills to clearly explain PO and invoice statuses to non-finance stakeholders.
    • Proven organizational skills to manage multiple open actions in a fast-paced, high-volume environment.
