ERP Project

Job Description

This position serves as the institution's business lead for General Ledger and financial accounting in the cloud ERP implementation, including the Chart of Accounts, accounting structures, journal processing, and period close. The role will represent institutional requirements, coordinate stakeholders across all four campuses and the health system, review and validate designs, lead testing, and prepare the organization for adoption. It will work closely with peer ERP module leads under the same manager to support integrated, end-to-end financial processes. Because the General Ledger and Chart of Accounts underpin every other financial module, the position will partner with the module leads for financial statements, payroll accounting, grants, receivables, business assets and projects, and banking and settlements to ensure accounting structures, integrations, and reporting align across the ERP.

General Ledger Implementation and Functional Leadership
* Serve as the primary institutional point of contact for General Ledger and financial accounting processes, including the Chart of Accounts, accounting structures, journal processing, and period close.
* Partner day to day with the System Implementer (SI) and internal project team to plan work, resolve questions, complete deliverables, and keep module activities moving.
* Explain current policies, business practices, pain points, controls, and institutional requirements to the implementation team.
* Identify and engage the appropriate representatives from accounting, finance, reporting, grants, payroll, and other impacted areas across all four campuses and the health system.
* Coordinate business input and facilitate timely decisions on future-state processes, Chart of Accounts, accounting structures, close, and journal processing.
* Review proposed process and system designs to confirm they reflect institutional requirements and identify gaps or unintended impacts.
* Own and execute assigned client-side tasks and deliverables, including documenting requirements, reviewing design materials, preparing data or decisions, completing validation activities, and following through on open items.

Configuration Validation, Testing, and Sign-Off
* Work directly with the SI to review and validate configuration, integrations, reports, conversions, and security that affect financial accounting; document feedback and drive required follow-up to closure.
* Prepare for and execute testing, coordinate participation from business users, document results and defects, retest corrections, and confirm that critical issues are resolved.
* Facilitate formal approval with the appropriate business owners, or provide sign-off when serving as the accountable business owner.
* Support training, change readiness, and transition activities by helping the institution prepare for new processes and responsibilities.

Project Coordination and Cross-Module Alignment
* Maintain visibility into module progress by tracking tasks, decisions, dependencies, risks, issues, and upcoming milestones.
* Provide regular, concise status updates to project leadership, including accomplishments, planned work, decisions needed, risks, issues, and areas requiring escalation.
* Communicate decisions, risks, issues, and organizational impacts to affected stakeholders and escalate matters that require leadership action.
* Partner with peer ERP module leads to align the Chart of Accounts, accounting structures, and integrations with subledger, payroll, grants, and reporting designs.

* Experience with Chart of Accounts design or redesign, financial close, journal processing, and accounting governance.
* Working knowledge of GAAP and GASB reporting standards, fund accounting, and internal control frameworks.
* Experience with system implementation or conversion projects, including integrations, data mapping, and reconciliation between enterprise systems.
* Experience gathering and documenting business requirements and process flows, test planning and user acceptance testing.
* Experience with PeopleSoft Financials or cloud-based ERP platforms.
* Experience supporting change management, developing training materials, and building consensus on standardized processes across decentralized units or multiple campuses.
