In this role, you will provide comprehensive administrative and operational support to the Area Manager, Supervisors, Pipeline Services, and Technical Services teams. Working independently and managing competing priorities, you will coordinate essential business activities, support employees and leaders, and help keep the department operating efficiently.

What You Will Do:

  • Manage invoice coding, purchase orders, operating budget administration, work orders, expenses, travel arrangements, departmental calendars, office equipment, and supply orders.

  • Prepare correspondence, presentations, meeting minutes, action-item records, reports, courier packages, filing, catering, and other administrative materials.

  • Coordinate team-building activities, meetings, and large on-site or off-site departmental events.

  • Support recruitment, onboarding, and offboarding activities while serving as a liaison among Human Resources, management, supervisors, employees, and contractors.

  • Enter and resolve employee time coding in Workday, complete ServiceNow requests, and provide application support across systems such as ELink, SharePoint, Oracle, MarkView, and Workday.

  • Administer security access through Genetec, train and orient new personnel, collaborate with regional administrative teams, and provide support during emergency response situations.

Who You Are:

  • Hold a high school diploma, preferably supplemented by continuing education courses; a related certification or university degree is considered an asset.

  • At least one year of responsible secretarial or administrative support experience.

  • Demonstrate strong organizational and multitasking skills, with the ability to work independently, manage competing priorities, and maintain close attention to detail.

  • Ability to communicate with professionalism, tact, and diplomacy and possess exceptional interpersonal, written, and verbal communication skills.

  • Highly proficient in Microsoft Office and Visio; experience using Oracle Financial Applications, SharePoint, and Workday is preferred.

  • Skilled with a positive, adaptable attitude, sound judgment, and a commitment to continuous learning and taking on increasingly complex responsibilities.

Working Conditions:

  • Office environment.

  • Limited travel (<5%), mainly to local field sites or other offices for meetings. Ability to travel and work throughout United States. A validdriver's license and maintenance of a responsible driving record is required which will be validated before hire.

  • Routine handling of sensitive or company-confidential information and documents is required.

  • A high volume of work must be proactively planned and frequently re-prioritized.

  • Effective and timely communication is required when managing shifting priorities and departmental needs.

Physical Requirements include but are not limited to:

Grasping, kneeling, light to moderate lifting of objects weighing up to 20 pounds, reaching above the shoulder, repetitive motion, typing, sitting, standing, meeting visual requirements such as viewing screens, detecting color coding and reading fine print, meeting hearing requirements, and sitting at a computer for extended periods.

Mental Requirements for both field and office environments include but are not limited to the ability to:

Understand, remember, and apply oral or written instructions and other information; understand complex problems and collaborate to explore alternative solutions; organize thoughts and ideas using understandable terminology; organize and prioritize short-term work schedules; make decisions that have a moderate impact on the immediate work unit and monitor impacts outside the area; understand and follow basic instructions and guidelines; complete routine forms; compose letters, outlines, memoranda, and basic reports; and communicate with individuals by telephone.

Salary:

  • Ranges from $42,200 - $60,000 USD for U.S. locations based on the candidate's experience, skills, and internal equity.

  • Applicable compensation policies and guidelines apply to internal candidates.
