Job Summary

The Employee Health & Well-Being (EHWB) Project and Support Services Manager is a central project and support services liaison, coordinating work across Business Services (procurement and contract management), Human Resources, Information Technology, Finance, Compliance, and other campus partners. This position advances the operational infrastructure needed to support EHWB programs, services, employee-centered initiatives, and emerging campus priorities.
The role manages projects that improve processes, strengthen coordination, and support the development of employee health-focused spaces throughout campus. The manager translates strategic priorities into actionable project plans, coordinates interested parties, monitors results, and ensures projects are completed in alignment with university policies, support services processes, budget expectations, timelines, and EHWB goals.
This position also supports onboarding processes, internal support services, policy coordination, and systems that enable EHWB teams to work efficiently and consistently. The manager exercises sound judgment, communicates effectively across complex organizational structures, and maintains a service oriented approach while managing competing priorities.

What Your Key Responsibilities Will Be

Project Management and EHWB Initiatives
  • Lead EHWB projects, including scope development, timelines, workplans, deliverables, risk identification, partner coordination, and implementation tracking.
  • Manage project plans for initiatives that require coordination across multiple units, systems, or campus partners.
  • Assist with advancing central initiatives within EHWB by coordinating next steps, supervising progress, identifying dependencies, and helping move priorities from planning through to completion.
  • Develop and maintain project tracking tools, decision and scope needs, status updates, implementation schedules, and follow-up documentation.
  • Facilitate project meetings, document decisions, track action items, and ensure collaborators understand roles, responsibilities, and timelines.
  • Support continuous improvement by evaluating workflows, documenting standard operating procedures, and recommending process improvements.
Employee Health-Focused Spaces and Campus Implementation
  • Coordinate operational planning for the creation, implementation, and ongoing support of employee health-focused spaces including wellness spaces, offices, etc. throughout campus.
  • Assist in partnering with campus collaborators to support space planning and employee health and well-being initiatives to support staff and faculty.
  • Track project landmarks, resource needs, dependencies, and risks associated with campus space initiatives.
  • Support development of operating guidelines, use expectations, scheduling processes, and communication materials for employee health-focused spaces.
  • Gather interested party input and operational feedback to improve the usability, sustainability, and effectiveness of employee health spaces.
Business Services and Financial Support and Coordination
  • Coordinate with campus and system administrative procurement offices on purchasing, contacting, vendor coordination, reimbursements, and other procurement needs.
  • Support responsible fiscal stewardship by tracking project-related expenditures, documentation, approvals, and resource needs.
  • Support EHWB staff and leaders with compliance with business procurement processes and rules.
  • Maintain organized records, documentation, and tracking systems to support compliance, transparency, and continuity of operations.
Policy, Process, and Onboarding Coordination
  • Coordinate EHWB policy and process documentation, including updates, routing, implementation steps, and communication to impacted interested parties.
  • Support onboarding and offboarding processes for EHWB employees by coordinating access, technology, workspace needs, training resources, and operational orientation materials.
  • Partner with HR and unit leaders to ensure new employees receive timely information about EHWB structure, expectations, procedures, and resources.
  • Develop and maintain internal guides, checklists, templates, and standard operating procedures, supporting consistency across teams.
  • Monitor policy-related questions or process gaps and elevate issues to leadership or appropriate campus partners, as needed.
Support Services Liaison and Cross-Functional Coordination
  • Be the primary support services liaison with Human Resources, Information Technology, Compliance, Facilities, and related campus partners.
  • Coordinate support services requests, workflows, approvals, and issue resolution across campus administrative offices and EHWB units.
  • Translate university processes, policies, and system requirements into clear guidance and actionable steps for leaders and staff, creating necessary trainings to ensure team compliance.
  • Identify barriers, gaps, or inefficiencies in cross-functional processes and recommend solutions to improve clarity, timeliness, and service delivery.
  • Maintain good working relationships with campus partners to support effective communication, shared accountability, and timely follow-through.
  • Complete other duties supporting EHWB priorities, operational needs, and emerging campus initiatives.

What You Should Know

This position has the ability to work in a hybrid work modality, and has an anticipated work schedule of Monday - Friday, during regular business hours.

What We Can Offer

The salary for this position is $78,100 annually. A signing bonus is available according to department guidelines.

What We Require

  • Bachelor's degree in a health-related field or equivalent combination of education and experience.
  • Five years of professional experience in operations, project coordination, business administration, purchasing, or a related area.
  • Experience coordinating complex administrative or operational processes across multiple collaborators or departments.
  • Experience managing projects, tracking results, coordinating timelines, and communicating progress to interested parties.
  • Experience interpreting policies, procedures, or business processes and providing guidance to others.

What You Will Need

  • Strong project management skills, including planning, organizing, prioritizing, tracking, and completing work across competing timelines.
  • Ability to build effective working relationships with IT, HR, Business Services, Finance, and other campus partners.
  • Excellent written and verbal communication skills, including an ability to explain complex processes clearly and professionally.
  • Great problem-solving skills and ability to identify process gaps, recommend solutions, and support implementation.
  • Ability to exercise discretion, sound judgment, and confidentiality when handling personnel, financial, or operational information.
  • Service oriented approach with the ability to support diverse partners and maintain professionalism under pressure.
  • Good attention to detail and ability to maintain accurate records, documentation, reports, and tracking tools.
  • Proficiency with Microsoft Office tools and ability to learn university systems, workflow tools, and project management platforms.

What We Would Like You to Have

  • Experience working in higher education, public sector, healthcare, employee well-being, or a complex matrixed organization.
  • Experience being a liaison with HR, IT, finance, procurement, business services, facilities, or similar operational units.
  • Experience supporting onboarding, employee lifecycle processes, policy implementation, or internal process documentation.
  • Experience coordinating space planning, workplace improvements, employee wellness spaces, or campus-based implementation projects.
  • Project management training or certification.
  • Experience using enterprise systems, financial systems, HR systems, ticketing systems, or project management tools.
