POSITION SUMMARY

The DOT Compliance & Safety Coordinator is responsible for ensuring the company's commercial drivers, vehicles, and transportation operations remain compliant with all applicable federal, state, and company safety regulations. This position supports DOT compliance, driver qualification management, safety training administration, onboarding, and regulatory reporting while assisting with the administration of the company's safety programs.

Requirements

Essential Duties and Responsibilities

  • Maintain Driver Qualification Files (DQFs) and ensure all required documentation remains current and compliant.
  • Monitor and coordinate DOT-required drug and alcohol testing programs, including pre-employment, random, post-accident, reasonable suspicion, and return-to-duty testing.
  • Audit Hours of Service (HOS) logs and driver records for compliance with DOT regulations.
  • Review commercial driver applications and onboarding documentation for DOT compliance.
  • Track and monitor CDL licenses, medical certifications, MVRs, training requirements, and other compliance-related deadlines.
  • Assign, track, and maintain employee safety training records.
  • Coordinate safety onboarding activities for new hires, including required training assignments, documentation, and recordkeeping.
  • Prepare onboarding materials and safety equipment for new employees.
  • Order, issue, and maintain inventory of personal protective equipment (PPE) and safety supplies, including hard hats, safety glasses, gloves, FR clothing, rubber gloves, traffic control equipment, and other required safety items.
  • Coordinate the distribution and replacement of safety equipment and ensure employees receive required PPE.
  • Assist with the preparation, completion, and submission of regulatory and compliance documentation.
  • Support internal and external compliance audits and inspections.
  • Maintain accurate safety, training, and compliance records and reports.
  • Assist with accident reporting, incident investigations, and corrective action tracking.
  • Communicate with employees, supervisors, vendors, and regulatory agencies regarding compliance and safety requirements.
  • Monitor safety certifications and training expirations and ensure timely renewals.
  • Stay current on DOT, FMCSA, OSHA, and company safety requirements.
  • Perform other compliance, safety, and administrative duties as assigned.

Qualifications

  • High school diploma or equivalent required.
  • 1-3 years of experience in DOT compliance, safety administration, transportation compliance, human resources, or a related field preferred.
  • Working knowledge of DOT, FMCSA, OSHA, and transportation regulations.
  • Strong organizational skills and attention to detail.
  • Proficient in Microsoft Office applications, including Excel, Word, Outlook, and electronic recordkeeping systems.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive information.

Preferred Qualifications

  • Experience maintaining Driver Qualification Files and DOT compliance programs.
  • Experience administering DOT drug and alcohol testing programs.
  • Familiarity with FMCSA Clearinghouse, MVR reviews, CDL requirements, and electronic logging systems.
  • Experience coordinating employee onboarding and safety training programs.
  • Experience managing safety supply inventories, PPE issuance, and vendor ordering processes.
