Employee Benefits Corporation is hiring for an
Administrative Support Specialist I. The Administrative Support Specialist I provides administrative and office support across a variety of department. This role assists with key office functions, facilities, etc.
Location
This is a full-time office based position in Middleton, WI.

What You'll Do
- Open, sort and distribute daily checks received and assist with opening daily incoming mail
- Scan, save, route and prepare documents/forms for processing and filing
- Sort and/or collate COBRA disbursements and other mailings on a regularly scheduled basis
- Manage shipping logistics by preparing accurate shipping labels, tracking outgoing and return shipments, and ensuring timely drop-off of packages at FedEx location
- Run and maintain reports and update tracking systems for Medicare Advantage clients
- Anticipate and execute regularly scheduled outgoing mailings or emails batches in the form of statements, reports and letters and enrollment material requests
- Monitor, distribute and process assigned tasks in CRM and Office Support Help Desk
- Maintain and oversee office supplies, postage and shipping materials
- Ensure proper functioning of mailroom equipment by performing daily cleaning and coordinating scheduled maintenance with vendors
- Process employee address changes and returned mail as needed
- Process participant account updates requested on claim forms
- Daily cleaning of employee breakroom, stocking supplies, emptying dishwasher, etc.
- Occasionally transport packages or catering orders using personal vehicle
What You Bring
- High School diploma or equivalent
- Two years administrative support experience in a corporate setting
- Basic proficiency with Microsoft Word, Excel and Outlook
- Possession of valid driver's license and access to a reliable personal vehicle for occasional mail, package or catering pickups
- Strong organizational skills and attention to detail
- Demonstrated effective written and verbal communication skills
- Ability to manage multiple tasks and meet deadlines
- Ability to maintain discretion and confidentiality in all aspects of position
- Ability to lift and carry packages, boxes and office supplies weighing up to 50 pounds
- Ability to stand for extended periods, up to six hours in an eight-hour day
- Frequent standing, walking, bending, stooping, and reaching throughout the workday
- Ability to push and pull carts loaded with mail, food or packages across varied surfaces
- Ability to climb or stoop to access storage shelves or supply cabinets
- Ability to reach in all directions and bend/stoop to store and retrieve files, use telephone, calculator, computer and other office equipment
- Capacity to perform repetitive tasks such as scanning, sorting, and collating documents and mailings
Ideally, You May Have
- Familiarity with CRM systems, in particular Microsoft Dynamics 365.
- Previous experience working with COBRA and tax advantaged benefit plans
- Experience with office equipment, such as copiers, fax machines, and printers
