Job Summary

The Facilities Coordinator II is responsible for the accurate and timely processing of vendor invoices, purchase orders, credits, vendor communications, and related financial transactions. This position plays a critical role in supporting customer billing, reporting, and month-end deadlines by ensuring all invoices and transactions are properly reviewed, approved, and completed by the assigned deadline period.


Essential Duties

  • Process, review, and approve vendor invoices with a high level of accuracy and attention to detail.
  • Create, verify, maintain, and close out purchase orders, ensuring correct locations, task codes, categories, and supporting information.
  • Perform ongoing PO cleanup, including identifying missing POs and canceling or closing unnecessary POs.
  • Research and resolve invoice discrepancies such as incorrect amounts, missing POs, incorrect locations, or service/material issues.
  • Communicate directly with vendors by phone and email to obtain corrections, updated forms, credits, and other required information.
  • Assist with vendor setup and updates, including collecting required documentation.
  • Verify vendor credits and ensure they are applied to the correct location or account.
  • Prepare and distribute tax exemption certificates as needed.
  • Work with internal departments to identify invoice owners and obtain information needed for timely processing.
  • Assist with intracompany service requests by providing accurate information to the Service Department and coordinating with technicians and vendors.
  • Prepare and submit monthly MWBE reporting to customers.
  • Ensure all AP responsibilities are completed accurately and by required deadlines to support customer billing, reporting, and month-end processes.
  • Provide backup support to Customer Service as needed, including issuing POs to technicians and vendors, assisting with payroll, uniform orders, employee badging, technician questions, phone/email coverage, and customer requests.
  • Maintain effective communication and coordination between customers, vendors, employees, technicians, and management.

Minimum Requirements

  • Previous accounts payable or accounting experience preferred.
  • Strong attention to detail and proven accuracy.
  • Excellent organizational, communication, and follow-up skills.
  • Comfortable communicating directly with vendors and customers to resolve issues.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong problem-solving skills and ability to work independently and as part of a team.
  • Proficiency with Microsoft Office, general computer applications, and maintenance management systems.
