As a vital member of our team, you will be instrumental in ensuring the efficiency and effectiveness of our marketing operations. You will directly support three executives and their broader team, managing complex schedules and facilitating critical projects. Your ability to anticipate needs and streamline processes will empower our leaders to drive impactful campaigns and achieve ambitious goals, contributing significantly to the team's success.

Primary Duties



  • Perform a variety of complex administrative functions for all levels of management and external business partners.
  • Manage executive schedules, ensuring optimal time management and coordination for multiple leaders.
  • Coordinate travel arrangements and efficiently process business expenses.
  • Organize and facilitate meetings and events from planning to execution.
  • Support department financial, personnel, and facility operations.
  • Manage the procurement of goods and services, including computer equipment, office supplies, reference materials, and vendor relationships.
  • Provide essential general office support to ensure smooth daily operations.
  • Serve as a key contact for the department/group, fielding inquiries and directing communications.
  • Complete special projects as assigned, contributing to broader team initiatives.


Required Skills & Experience



  • Recent experience (within the last 6 months) supporting a large, global organization in an administrative capacity.
  • Minimum of 12+ months of availability for the assignment.
  • Proven experience managing complex calendars for multiple executives.
  • Demonstrated ability to coordinate travel, process expenses, and organize meetings/events.
  • Experience with procurement processes and vendor management.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent communication and interpersonal skills, with a professional demeanor.
  • Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
  • Proficiency in standard office software and tools.
