SUMMARY
The Client Services Associate provides administrative and operational support to Wealth Advisor, Financial Consultants, Trust Officers, Retirement Plan Specialists, Retirement Plan Advisors, and clients. This position ensures highquality client experiences through effective communication, accuracy, and timely followup. The Client Services Associate plays a key role in account onboarding, maintenance, documentation, and daily service needs.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Initiates and schedules appointments with new and existing clients; gather necessary information prior to meetings.
  • Serves as a primary point of contact for client inquiries regarding general account activity, documentation, and service requests.
  • Supports the onboarding of new client accounts, including gathering documentation, preparing forms, and coordinating with internal teams.
  • Processes account maintenance requests such as beneficiary changes, address updates, distributions, and account transfers.
  • Assists in preparing client meeting materials, reports, and followup correspondence.
  • Maintains accurate and compliant client records and ensure all documentation meets regulatory standards.
  • Monitors and responds to daily client requests with strong attention to detail and service quality.
  • Works closely with operations and trust administration teams to resolve issues efficiently.
  • Supports Wealth Advisors, Financial Consultants, Trust Officers, Retirement Plan Specialists, and Retirement Plan Advisors in daily administrative tasks and workflow management.
  • Performs other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES

  • Strong communication and client service skills, demonstrated through regular coordination with internal and external stakeholders and successful completion of projects or service requests.
  • High attention to detail and accuracy, evidenced by consistently producing errorfree work, managing multiple deadlines, or handling highvolume tasks in fastpaced environments.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint), demonstrated through handson use to create documents, analyze data, develop presentations, and support daytoday workflow.
  • Willingness to obtain certifications or licenses specific to the role; training and sponsorship provided.

EDUCATION AND/OR EXPERIENCE

  • High School Diploma or General Education Degree (GED) required
  • 1-3 years experience in financial services, banking, trust, wealth management, brokerage, or a related field required
  • Experience with customer relationship management or trust/wealth software preferred

LICENSES AND CERTIFICATIONS

  • Related certifications or licenses preferred
