Job Description

The Opportunity

The Matriculation and Retention Advisor is responsible for executing Matriculation and Status Break (Retention) outreach programs. Reporting to the Director, Matriculation Advisement within Worldwide Student Success Operations, this role delivers high-quality student support services to promote student success, academic achievement, and retention. The Advisor works collaboratively with other Advisors, Site Advisors, and Site Directors to meet matriculation and retention goals, with a focus on non-matriculated and status break student outreach initiatives.

This position conducts detailed analysis of student academic records and provides academic advisement related to degree requirements, curriculum, academic policies, procedures, transfer credit, advanced standing, graduation requirements, and interpretation of the Official Advising Report. The role also promotes institutional aid initiatives and scholarship opportunities for eligible students.

The Matriculation and Retention Advisor requires independent judgment and decision-making in assessing and resolving student issues. The role gathers and analyzes student data and trends related to retention and academic success. Communication with students is conducted via phone, email, text, and chat to encourage enrollment, persistence, and retention while maintaining a high level of customer service.

Key Responsibilities:

Student Communication & Outreach

  • Initiate proactive outreach to non-matriculated and status break students via phone, email, and text

  • Respond to student inquiries, concerns, and provide guidance, referrals, and support to remove barriers to enrollment

  • Follow established weekly matriculation and monthly status break outreach schedules

  • Maintain accountability for outreach within assigned geographic areas

  • Provide coverage support for team members during extended absences or leave periods

Advising & Student Services

  • Advise students on degree curriculum, academic regulations, prerequisites, graduation requirements, policies, and interpretation of the Official Advising Report

  • Provide guidance on financial aid, tuition assistance, industry reimbursements, payment plans, and Veterans Affairs benefits options

  • Deliver personalized advising to at-risk students, including those on conditional admission, academic warning, and probation

  • Promote scholarship opportunities and institutional aid initiatives

  • Identify and address barriers to enrollment, offering support or referrals to appropriate student services

  • Collaborate with advising teams to support student success and retention outcomes

  • Monitor and ensure completion of advisor follow-up activities within outreach workflows

  • Verify prerequisite requirements and ensure appropriate course registration and curriculum alignment

  • Assist students with academic resources, including textbooks and course materials

  • Support student navigation of university systems including ERNIE, Campus Solutions, Canvas, eUnion, and other platforms

  • Encourage eligible students to apply for and participate in graduation

Management of Student Records

  • Maintain accurate and timely records in Campus Solutions, Imaging, Education Cloud, SharePoint, and other university systems

  • Document all student interactions with detailed advisor notes and status updates

  • Resolve individual student enrollment and academic issues

  • Provide timely and accurate reports and data as required

Compensation

The annual salary range for this role is $43,888-$50,000. The final offer will be based on the candidate's skills, qualifications, and experience, as well as applicable state regulations, internal equity, and business needs, and may fall outside of the stated range.

Qualifications

Required Education:

  • Bachelor's degree required

Preferred Area of Study:

  • Education, Counseling, Higher Education Administration, or a related field from an accredited institution

Required Experience:

  • 1-3 years of related experience in student support services

Preferred Experience:

  • Experience in student engagement, advising, or customer service

  • Experience in higher education administration, marketing, or related service environments

Skills, Knowledge, and Abilities:

  • Ability to work independently with strong time management skills

  • Ability to work collaboratively with students, faculty, and staff in both in-person and remote environments

  • Excellent verbal and written communication skills

  • Strong organizational and multitasking abilities

  • Ability to maintain professionalism, composure, and a positive service-oriented attitude under pressure

  • Strong analytical skills with working knowledge of information systems and Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, Access, and internet-based systems
