Primary Purpose of Position
The Department of Mathematical Sciences provides curriculum, instruction, and co-curricular activities that prepare students for careers in the mathematical sciences. The Administrative Associate supports departmental operations by assisting the Lead Administrative Specialist and administrative leadership in ensuring efficient daily functioning of the department.
Minimum Qualifications
Graduation from high school; or an equivalent combination of education and experience.
Diplomas or degrees must be received from appropriately accredited institutions.
License/Certification Required
Essential Job Functions

  • Serve as the department's primary point of contact by greeting visitors, answering and directing telephone calls, and managing general inquiries.
  • Coordinate departmental communications, including delivering messages and maintaining a professional and welcoming front office environment.
  • Manage incoming and outgoing departmental mail and correspondence.
  • Maintain departmental office operations by organizing files, monitoring inventory, and ordering office supplies.
  • Coordinate textbook requisitions and desk copy requests with faculty and vendors.
  • Update and maintain departmental forms, records, and informational materials to ensure accuracy and accessibility.
  • Assist with student services processes, including entering permits for course enrollment, maintaining student records, and assigning academic advisors.
  • Schedule appointments and provide administrative support for faculty, staff, and departmental activities.
  • Support programmatic initiatives such as the Math Education Leadership Training (MELT) program by assisting with preparation, coordination, and distribution of materials.
  • Provide general administrative support to departmental leadership and contribute to special projects and other duties as assigned.

Required Functional Competencies to Successfully Perform Job Duties.
Budgeting
In the absence or support of the Administrative Support Specialist (Lead in Dept.), this position submits work orders and creates orders for office supplies. They may also provide support for processing travel requests and maintaining required documentation for orders, purchases, and contracts. For the Mathematics Education Leadership Training ( MELT) program, this position makes deposits, processes and records receipts, and tracks accounts receivable. This position meets regularly with the Director of the MELT program, updating program budget processes and providing reports on registrations and payments.

Responds to general questions/issues that deviate from standard operating procedures by determining and consulting appropriate resources such as policies, manuals, or other staff. Responds to requests for program and procedural information. Contacts service recipients, vendors, or clients to provide or obtain information. Schedules rooms. Applies knowledge of programs, policies and procedures to interpret and communicate information to meet specific needs of staff and clients. Demonstrates the ability to work with confidential and sensitive information.
Information/Records Administration
Uses established filing and data systems, functions, and/or procedures and maintains continuity in records, including personnel files and student actions. Reviews data and information for completeness and accuracy using standard guidelines. Records, compiles and summarizes data using established format. Compiles and organizes information from different sources to develop reports and data. Identifies efficiencies and creates or advocates for new systems for data collection and reporting.
Work Coordination
Coordinates tasks and establishes priorities in response to work flow of the office. Assists with supervising and training student employees. Coordinates with others to complete tasks. Serves as assistant to the office manager when helpful to maintain efficiency of work flow. Manages a wide variety of records, reports and files , including for the MELT program. Develops new processes or procedures relevant to the support needs of the office to improve efficiency, communication, and relevance, including primary coordination for the MELT program.
