Job Summary

This position supports payroll and position management operations for the college by ensuring accurate, compliant, and timely processing of payroll-related activities. It provides customer support and guidance to employees, supervisors, and leadership on payroll, HCM, and time and labor processes, including training and issue resolution. The role coordinates payroll transactions, prepares and maintains reports and reconciliations, assists with position management, and contributes to process improvements and efficient operations.

Essential Functions

25% - Provides customer support by researching and responding to issues and questions regarding payroll, human resource information system (HCM), time and labor and employee pay issues for employees, supervisors and district payroll contacts. Provides instruction and training to employees, supervisors, faculty chairs and executive leadership regarding HCM processes. Adheres to and ensures compliance with applicable policies, processes, procedures and deadlines; advises managers and employees on applicable policies.

25% - Coordinates and creates payroll documents. Verifies and inputs additional pay requests in enterprise financial systems. Reviews, verifies and corrects payroll documents and reports. Verifies and processes late timesheets, absence adjustment forms, off-cycle check requests and cell phone allowance documents, adhering to district policies. Requests stop payment and replacement checks from district office.

20% - Composes basic original documents for routine communication to supervisors. Prepares queries and reports for fiscal, budget, payroll, faculty chairs, and grants. Runs queries to prepare compensation reports and reconciliation. Assists in the development and maintenance of reports and queries for fiscal, payroll, time & labor, absence, substitute reporting, and grants. Prepares and updates recurring and ad hoc reports. Performs reconciliation between SIS, FMS and HCM of Federal Work Study payroll.

15% - Submits new and modification requests for position management. Inputs and maintains data in enterprise financial systems. Assists with classifying positions based on analysis of submitted documentation.

10% - Attends college payroll and other office meetings to collaborate on best practices. Reviews work processes and procedures and makes recommendations.

5% - Other Duties as Assigned

Minimum Qualifications

Associate's Degree from a regionally accredited institution and four (4) years of financial support experience in an area related to assignment such as fiscal, finance, accounts receivable/payable, or payroll.

OR

An equivalent combination of education and/or directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

A. Experience supporting payroll, time and labor, and/or position management functions, preferably in a higher education or public sector environment.

B. Experience with enterprise systems (e.g., human capital management, financial management).

C. Experience querying data, preparing reports, and/or performing reconciliations.

D. Experience reviewing documents for accuracy and compliance.

E. Experience providing guidance and/or training to employees on system processes and procedures.

F. Experience providing customer service to diverse audiences.

G. One (1) year of relevant full-time MCCCD experience during the previous two years

Special Working Conditions
  • May be required to lift or carry up to 25lbs.
  • May be required to sit for a prolonged period of time; viewing a computer monitor
  • Travel to campus during interview/selection process will be at candidate's own expense
