Job Summary Scottsdale Community College (SCC) is seeking a full-time Administrative Specialist, Senior, to support the Marketing, Development and Alumni Engagement offices. This position will provide advanced administrative office support, secretarial support, and/or program coordination activities. To best serve the students, department, and college, this position requires a physical presence on campus, with the possibility of partial remote work up to one day a week depending on business needs. Essential Functions 15% - Schedules, prioritizes, coordinates and performs administrative office support activities related to meetings, events or office services. 15% - Assists with research, gathers information and provides coordination of activities and administrative support of projects, programs or services, including vendors. 10% - Monitors and tracks budgets, funding and expenditures; and assists with budget preparation 10% - Communicates with internal and external resources regarding policy/procedural, event or program information 10% - Receives and responds to inquiries and information requests, resolving issues or referring requests to appropriate resource 10% - Coordinates the inventory and replenishing of office supplies, office equipment maintenance services, and branded promotional items 5% - Researches, gathers, compiles and reviews data and information in support of assigned function, program, project or support area 5% - Designs and formats complex documents; composes original documents, reports, correspondence and presentations 5% - Prepares and maintains schedules, coordinates calendars, researches and makes travel arrangements 5% - Oversees the maintenance of files, records, database information and documentation related to assigned area and according to established procedures 5% - Adheres to applicable policies and procedures 5% - Performs other duties as assigned SUPERVISION EXERCISED: This position does not supervise anyone. SUPERVISION RECEIVED: Receives general supervision on routine items which are performed according to established standards and procedures and receives specific work instruction regarding non-routine matters and deadlines. Minimum Qualifications Associate's Degree from a regionally accredited institution and two (2) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities. OR An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered. Desired Qualifications A. Bachelor's Degree from a regionally accredited institution. B. Experience providing administrative support for a marketing, development, alumni engagement and/or institutional advancement department(s). C. Interest in growing one's knowledge and skillsets in any of the above areas to pursue greater job responsibilities and contributions to SCC's success (career growth) D. One year of full-time, relevant MCCCD experience within the previous two years. Special Working Conditions All travel-related expenses to campus during the interview and selection process will be the candidate's responsibility. May be required to travel to other MCCCD locations. May be required to work evenings and weekends. May require prolonged periods of sitting and viewing a computer screen. May be required to lift or carry up to 25 lbs. This position requires a physical presence on campus with possible partial remote work depending on business needs to best serve the students, department, and college.
