Work Arrangement - Onsite - Duke Main Campus (Davison Building) General Description of the Job Class In direct support of Senior Vice President, Chief Financial Officer (CFO) and Treasurer of Duke University Health System, this role provides high-level, proactive executive administrative support in a fast-paced, high-demand environment. The Executive Assistant reports to the Chief of Staff of the CFO Office and works closely in partnership with the Chief of Staff to support the daily operations and strategic priorities of the CFO Office. This position requires independent judgment, exceptional professionalism, and the ability to anticipate needs, drive efficiency, and ensure seamless execution of executive operations. The Executive Assistant serves as a key representative of the CFO's office, consistently demonstrating strong interpersonal skills and a positive, responsive presence in interactions with both internal and external stakeholders. The role requires handling highly sensitive and confidential information with the utmost discretion, sound judgment, and professionalism. Duties and Responsibilities of this Level
- Manage and prioritize the CFO's calendar, meetings, and communications using sound judgment and strategic prioritization.
- Partner closely with the Chief of Staff to support coordination, workflow, and operational needs of the CFO office.
- Anticipate the needs of the CFO and proactively coordinate resources, information, and stakeholders to support executive effectiveness.
- Prepare, review, and format high-quality materials including presentations, reports, and correspondence using advanced Microsoft Office skills (Word, PowerPoint, and Excel).
- Support development of presentations, briefing materials, and executive communications; ensure accuracy, formatting, and readiness for executive and board-level use.
- Coordinate logistics for meetings and events, including executive leadership meetings, Board of Directors and committee meetings (e.g., Finance Committee), and external engagements.
- Support Board and committee-related activities in coordination with the Chief of Staff.
- Serve as a primary point of contact for internal and external stakeholders, representing the CFO's office with professionalism, responsiveness, and sound judgment.
- Manage complex and confidential information, ensuring appropriate handling and strict adherence to privacy and discretion requirements.
- Track and follow up on key priorities, deliverables, and action items in coordination with the Chief of Staff to support execution across the CFO's portfolio, including Board and committee follow-ups.
- Conduct research, compile data, and prepare materials to support strategic initiatives and operational priorities.
- Independently manage day-to-day administrative functions of the CFO office, ensuring efficient workflow and coordination.
- Interpret and apply organizational policies and procedures in support of the CFO's activities and decision-making.
- May represent the CFO office in interactions across the organization and with external stakeholders as appropriate.
Minimum Qualifications
Education
Work requires a business, administrative, or related background generally equivalent to a bachelor's degree, or equivalent combination of education and experience.
Experience
- Typically requires a minimum of six years of executive administrative experience supporting senior-level leaders in complex, fast-paced environments.
- Demonstrated experience supporting executive leadership in high-demand settings with competing priorities.
- Experience in healthcare, academic medicine, or large matrixed organizations preferred.
Knowledge, Skills and Abilities
- Demonstrated ability to operate independently with minimal direction while effectively managing multiple priorities.
- Exceptional interpersonal and communication skills, with a strong ability to positively represent the CFO office to a broad range of stakeholders, including executive leadership, board members, and external partners.
- High degree of professionalism, discretion, and confidentiality in handling sensitive and executive-level information.
- Advanced proficiency in Microsoft Office Suite, including:
- Word (document creation, formatting, and editing)
- PowerPoint (presentation formatting and executive-ready materials)
- Excel (data organization, tracking, and reporting)
- Strong attention to detail and organizational skills, particularly in preparing materials for executive and board-level audiences.
- Proven ability to anticipate needs, think proactively, and resolve issues effectively.
- Ability to maintain composure and effectiveness in a fast-paced, high-pressure environment with tight timelines.
- Strong time management and prioritization skills to support executive workflows and deadlines, including recurring board and committee cycles.
- Demonstrated ability to build strong working relationships and maintain trust across internal and external partners.
