Primary Purpose of Organization Unit
The James B. Chavis Student Center serves as a central hub for student engagement, campus life, and community connection by operating key campus spaces and delivering essential services to students, faculty/staff, and community partners. The Center supports the holistic development of students through functional areas including student activities, student organizations, and fraternity and sorority life. It fosters involvement, leadership, and a sense of belonging by providing programs, resources, and collaborative opportunities. Through its facilities and services, the Center enhances the overall student experience and contributes to student success.
Primary Purpose of Position
The Administrative Support Specialist serves as the primary front-facing contact for the James B. Chavis Student Center, providing professional, responsive service to students, faculty, staff, community members, and vendors. This role supports the operational, financial, and programmatic functions of the Student Center while ensuring efficient office management and high-quality service delivery.
Job Description
The Administrative Support Specialist serves as the primary front-facing contact for the James B. Chavis Student Center, providing professional, responsive service to students, faculty, staff, community members, and vendors. This role supports the operational, financial, and programmatic functions of the Student Center while ensuring efficient office management and high-quality service delivery.

Customer Service & Office Operations
* Serve as the first point of contact via phone, email, and in-person interactions.
* Provide accurate information, directions, and referrals to appropriate campus resources.
* Maintain positive relationships with students, student organizations (e.g., PAC, AGC), campus partners, and external vendors.
* Manage day-to-day office operations, including shared drive maintenance and record keeping (digital and physical).
* Maintain and update department websites (Chavis Student Center, Greek Life, PAC).
* Oversee office equipment and supply inventory.
* Provide administrative support to the Director and professional staff.
* Draft, proofread, and edit correspondence, reports, and materials as needed.
Event, Facilities & Program Coordination
* Assist in planning, coordinating, and executing Student Center programs and events.
* Process contracts (e.g., personal services, entertainment agreements) and ensure timely payments.
* Coordinate logistics including facility reservations, catering, vendor arrangements, and travel.
* In collaboration with the Assistant Director, review, process, and approve event space requests for designated campus spaces, including Student Center meeting rooms, the lawn, Annex Assembly Room, and the Mall.
* Support occasional evening or after-hours events (with comp time approval).

Student Employment & Program Support
* Recruit, hire, train, and supervise work-study students.
* Process employment contracts for student staff and student organization leaders (e.g., PAC, AGC).
* Maintain employment records and documentation.
* Coordinate travel arrangements and logistics for staff and student groups.
* Support programming, outreach, and engagement initiatives across functional areas.

Financial & Administrative Services
* Reconcile purchasing cards (P-Cards) and process requisitions through Banner.
* Assist with budget tracking, financial transactions, and resource management.
* Process payments, deposits, and financial documentation related to events and operations.
* Maintain accurate financial, contractual, and operational records.
Communications, Marketing & Engagement
* Manage the student-all listserv, including bi-weekly "Things To Do" communications.
* Assist with social media planning, content updates, and promotional efforts.
* Support marketing and advertising initiatives, including printing coordination.
* Assist with administration of the BraveConnect student engagement platform.
Additional Duties
* Collaborate with campus partners to support Student Center operations.
* Other duties as assigned by the Director of Student Engagement.
