    REPORTS TO: Associate Principal of Curriculum

    POSITION OBJECTIVE: The job of Registrar is done for the purpose/s of registering students and maintaining computerized student records and files; providing student information to authorized parties in compliance with established policies; and providing general clerical support, information and/or direction as assigned.

    MINIMUM QUALIFICATIONS: Job related experience is required

    REQUIRED SKILLS:

    • Proficient in operating standard office equipment and relevant software
    • Ability to prepare and maintain accurate records
    • Strong problem-solving and decision-making abilities
    • Basic math skills (fractions, percents, and ratios)
    • Ability to read and interpret manuals and follow prescribed formats for writing documents
    • Knowledge of codes, regulations, and laws related to student enrollment, graduation, and transfer
    • Familiar with business telephone etiquette
    • Understanding of board policies and district, state, and federal regulations/laws
    • Skilled in scheduling activities, meetings, and events
    • Ability to gather, collate, and classify data
    • Proficient in using job-related equipment
    • Flexible in working with others in diverse environments and situations
    • Ability to analyze data using defined but varied processes
    • Strong problem-solving skills for identifying issues and creating action plans
    • Capable of adapting to changing priorities and working with diverse individuals
    • Ability to maintain confidentiality and work with detailed information
    • Works effectively as part of a team, under minimal supervision, and within time constraints
    • Able to work with frequent interruptions while setting and managing priorities
    • Clear reading, writing, and communication skills in English

    ESSENTIAL FUNCTIONS:

    • Attends department, in-service meetings, workshops and/or seminars as assigned for the purpose of conveying and/or gathering information required to perform job functions.
    • Informs appropriate personnel of possible student course deficiencies for the purpose of assisting in addressing student course requirements.
    • Interprets transcripts of incoming students for the purpose of transferring grades and semester credit hours into the student information system.
    • Maintains a variety of manual and electronic documents, files, and records for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements including state reporting with ISBE.
    • Manages student information system for the purpose of maintaining the accuracy and efficiency of student data.
    • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit pertaining to District 219.
    • Performs enrollment and withdrawal activities for the purpose of complying with established requirements.
    • Prepares standardized documents and reports for the purpose of communicating information to other parties and/or agencies.
    • Processes a variety of documents and materials for the purpose of providing required information in response to requests from students, other districts, colleges/universities and/or employment agencies.
    • Manage and distribute diplomas, transcripts, and graduation-related documents
    • Support the development of graduation lists, ensuring all students meet academic credit and assessment requirements.
    • Responds to questions from a variety of internal and external sources for the purpose of providing information and/or direction.
    • Supports Assistant Principal for Curriculum for the purpose of ensuring the accuracy of student records.
    • Verifies student related data for the purpose of ensuring the accuracy of the student records.

    RESPONSIBILITY

    Responsibilities include: working under limited supervision following standardized practices and/or methods; leading, guiding, and/or coordinating others; utilization of some resources from other work units may be required to perform the job's functions. There is a continual opportunity to impact the organization's services.

    WORKING ENVIRONMENT

    The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 50% sitting, 25% walking, and 25% standing. This job is performed in a generally clean and healthy environment.
