Are you a highly organized, proactive, and forward-thinking professional ready to be the linchpin for a creative design organization? We are looking for a pivotal individual to ensure seamless operations and foster efficient communication for multiple design leaders. In this role, you won't just manage schedules; you'll be the strategic coordinator who empowers our design teams to bring visionary projects to life, directly impacting the pace and success of our innovative endeavors.

We are seeking a proactive, high-energy partner to support two of our Senior Leads across Design and Strategy. This role isn't just about managing calendars; it's about sitting at the "crossroads" of our services and navigating the beautiful friction between creative production and strategic execution.

The ideal candidate thrives in the middle of the action, excels at resolving conflicting priorities in real-time, and understands the unique rhythm of a fast-paced creative agency or production house.


Key Responsibilities

  • The Hub of Strategy & Design: Provide dedicated, high-touch support to two Senior Leads, ensuring their time is optimized as they bridge multiple service lines and departments.
  • Tactical Calendar Management: Manage "the daily" of heavy, ever-shifting calendars. You aren't just moving blocks; you are auditing invites, anticipating missing stakeholders, and adjusting for venue changes on the fly.
  • Conflict Resolution: Act as the primary filter for multiple, often conflicting, requests. You'll need the confidence to "get in the middle," prioritize effectively, and keep projects moving without missing a beat.
  • High-Velocity Communication: Serve as the air traffic controller for the team using Slack and iCal, ensuring responsiveness and clarity across all channels.
  • Leadership Partnership: Leverage prior experience supporting Director-level leadership (or higher) to anticipate needs before they are articulated.


Qualifications

  • Industry Experience: Proven track record in the Production, Creative, or Design industries. You understand the workflow of a fast-paced agency environment.
  • Operational Excellence: You don't just keep up; you stay ahead. You are known for being incredibly proactive, timely, and detail-oriented.
  • Adaptability: Experience supporting multiple leaders simultaneously, specifically in environments where roles and projects overlap.
  • Tech Savvy: Expert-level proficiency in Slack and iCal is a must.
