JOB SUMMARY, DESCRIPTION & QUALIFICATIONS:

Job Summary

Academic Advisors provide structured academic advising and case management to support student enrollment, persistence, and program completion. Advisors assist students with academic planning, course selection, policy interpretation, and referrals to campus and community resources. They monitor student progress, document advising interactions, and use institutional data to identify and intervene with students who may be at risk.

Essential Functions and Responsibilities

The following duties are primarily performed and are essential for this position. Employees are expected to be able to perform each of these job duties satisfactorily and successfully with or without reasonable accommodation.

Academic Advising and Student Case Management

  • Serve as the assigned academic advisor and primary institutional contact for a designated student caseload ranging from Undeclared single course takers to pre-program acceptance through completion/graduation.

  • Conduct comprehensive advising appointments to develop, document and track individualized academic plans aligned with program requirements, credential pathways, transfer goals, and career objectives.

  • Interpret and communicate institutional policies, academic requirements, graduation standards, and external licensure or credentialing criteria.

  • Provide guidance on course sequencing, prerequisites, credit for prior learning, academic standing, and satisfactory academic progress.

  • Assist students in evaluating student program fit and readiness; recommend program changes or appropriate referrals when warranted.

Retention and Resource Coordination

  • Monitor academic performance, attendance, and engagement through institutional systems (e.g., Workday, Canvas, Intelliboard) to identify students at risk of attrition.

  • Initiate timely outreach and implement intervention strategies consistent with the College's advising communication plan and retention initiatives.

  • Conduct re-engagement outreach to students who have stopped attending or failed to re-enroll.

  • Collaborate with faculty and academic departments to review student progress, address academic concerns, and support coordinated retention strategies.

  • Utilize data and institutional metrics to inform advising strategies and support student persistence and completion goals.

  • Utilize AI and emerging technologies, as appropriate, to enhance daily workflow efficiency, improve service delivery, and support accurate and timely completion of responsibilities in alignment with institutional guidelines.

  • Assist students in navigating their concerns and practicing self-advocacy, referring them to appropriate staff while minimizing escalation.

  • Coordinate referrals and maintain working knowledge of campus and community resources, including Financial Aid, Registrar, Career Services, Resource Navigation, Accessibility Services, Academic Resource Center, and Library Services.

  • Maintain a visible and engaged presence within assigned academic areas to support student access and relationship development.

Documentation and Compliance

  • Maintain accurate, thorough, and timely documentation of advising interactions, student concerns, action plans, and interventions within designated student information systems.

  • Demonstrate professional judgment in the handling of student information, ensuring appropriate discretion, accurate documentation, and lawful information-sharing consistent with FERPA and institutional policy.

  • Complete required data entry, activity tracking, and outcome reporting to support retention initiatives, accreditation processes, assessment efforts, and grant compliance.

  • Exercise sound professional judgment while maintaining confidentiality and ethical standards in all student interactions.

  • Participate in division meetings, cross-functional workgroups, professional development activities, and assigned committees to support continuous improvement of advising practices and student success strategies.

  • Contribute to the evaluation and refinement of advising processes, tools, and communication strategies to improve efficiency and effectiveness.

Other

  • While the position description outlines the essential functions and responsibilities of the position, staff may be called upon to assist with tasks or projects in other areas of Student Services and the College as needed in support of institutional goals and student success.

  • While the primary work schedule is during standard business hours, occasional evening and/or weekend hours may be required to support student needs, college events, and operational success.

  • Work is primarily conducted at the NTC Wausau Campus but occasional travel to regional campuses or Centers of Excellence may be required to meet support students, ensure adequate coverage, and participate in training or other operational activities.

Minimum Qualifications Required

In limited circumstances, NTC may consider a combination of education, training, and experience which provides the necessary knowledge, skills, and abilities to perform the duties of this position.

Education:Bachelor's Degree

  • In education or related field.

Experience:3 Years

  • Experience in advising, career planning and placement services preferred

Knowledge, Skills and Abilities

Ability to actively listen, discern key information, and respond professionally; ask follow up or clarifying questions to diffuse escalated situations and offer appropriate problem resolution when necessary.
