About the Role:

The Payroll Specialist ensures the accurate and compliant processing of hourly and semi-monthly payrolls for employees across the United States. This role sits within the Global Finance Shared Services (GFSS) function and is critical in maintaining financial integrity, tax compliance, and employee/customer satisfaction. The specialist partners with internal stakeholders and external vendors to deliver timely payroll services while supporting reporting and audit process and reconcile multi-state hourly and semi-monthly payrolls with accuracy and timeliness.

Job Responsibilities:

  • Process and reconcile multi-state semi-monthly payrolls with accuracy and timeliness.
  • Ensure compliance with federal, state, and local payroll laws and tax regulations.
  • Administer payments including regular wages, bonuses, severance, and garnishments.
  • Prepare and post payroll journal entries, accruals, and general ledger reconciliations.
  • Reconcile quarterly and annual filings (W-2, 941, etc.) in coordination with vendors.
  • Act as first-level support for payroll-related employee inquiries.
  • Collaborate with HR for employee data changes and benefit deductions.
  • Maintain data accuracy across payroll and finance systems (ADP, SAP, Workday, etc.).
  • Support internal and external audits with documentation and analysis.
  • Identify and implement process improvements and internal control enhancements.

Required Qualifications:

  • Minimum 3-5 years of U.S. payroll experience, including multi-state processing
  • Bachelor's Degree in Finance, Accounting, or related field
  • CPP or FPC certification is a plus
  • Experience with ADP, SAP, Workday, or similar systems
  • Strong knowledge of wage & hour laws, payroll tax, and compliance
  • Advanced Excel proficiency (pivot tables, formulas)
  • High attention to detail and accuracy
  • Strong communication and customer service skills
  • Ability to maintain confidentiality and demonstrate integrity
  • Analytical and problem-solving mindset
  • ADP WorkforceNow required

The range below represents Wiley's good faith and reasonable estimate of the base pay for this role at the time of posting roles either in the United Kingdom, Canada or USA. It is anticipated that most qualified candidates will fall within the range, however the ultimate salary offered for this role may be higher or lower and will be set based on a variety of non-discriminatory factors, including but not limited to, geographic location, skills, and competencies.
