Job Summary

The principal role of this position is to perform a high level of administrative duties and support. Includes intermediate to advanced working knowledge of word processing, creating and editing documents and spreadsheet software. Prepares reports and executive summaries. Use of internet and internal intranets to access and research information. Schedules meetings and calendar requests, answers telephones, secures travel arrangements, and maintains records management. Handles confidential information on a regular basis. Communicates and works effectively with members of work group and external customers. Promotes desired corporate image with all contacts. This position is responsible for monitoring and ensuring timely response to executive issues and may include work support after hours and on weekends for storm mobilizations.

Job Responsibilities
  • Types correspondence, uses word processing, creates spreadsheets and other visual aids as needed by department contacts. Develops, designs and updates Power Point presentations, Excel spreadsheets and Word documents. Creates and edits documents that convey a clear, concise and effective message. Maintains and handles records management system, ensures compliance and regulatory requirements are met. Expert use of standard office equipment (computer, phone, printers, etc.)
  • Maintains and files confidential material, answers telephones, and assists in project coordination and timeline tracking. Handles calendar requests and coordinates calendar maintenance. Analyzes information and generates alternatives to address problems. Makes and distributes copies. Distributes mail and faxes. Makes travel arrangements. Schedules and arranges for meetings; room, room setup, participant scheduling, and correspondence.
  • Assists department personnel and acts as a training resource in use of office equipment and software.
  • Complete other administrative tasks and/or projects as assigned such as purchase of office supplies, equipment, furniture, and managing training records. Customer reception and assistance as required.
  • Develop correspondence and proofread materials drafted by others.
  • Prioritize and manage multiple projects simultaneously
Minimum Qualifications
  • High School Diploma, HSED, or GED
  • 5+ years Standard office products and software, Word, Excel, Access, and PowerPoint
  • 5+ years Clerical Experience
Preferred Qualifications
  • Experience providing a high level of administrative support.
  • Demonstrated high level of accuracy and attention to detail.
  • Demonstrated initiative and solid organization skills in order to manage multiple priorities and a wide variety of assignments with tight deadlines.
  • Demonstrated skills in customer service, accountability for assignments, attention to details and meeting commitments.
  • Excellent written & verbal communication skills and above average editing and proofreading abilities.
  • Demonstrated ability to work independently and as part of a collaborative team.
  • Integrity and discretion for handling sensitive and confidential information.
  • Ability to collaborate and build relationships across the organization.
Testing requirements

Basic Clerical Aptitude test (BCAB): Ability to classify information according to preset rules; spelling and grammar; basic mathematics; filing and sorting information.

Pay Range Minimum: $24.88

Pay Range Maximum: $37.32

The pay range reflects the minimum and maximum for the position at the time of posting and may be modified in the future. The starting salary/pay within the pay range will be based on several factors, as applicable, but not limited to, relevant education, qualifications, certifications, experience, skills, geographic location, shift, travel requirements, collective bargaining agreements, and business and organizational needs. At WEC Energy Group, it is not typical for an individual to be hired at or near the top of the range for their role.
