Training Center Administrative Assistant (Hourly)

Location: Platte City, MO

Reports To: Training Manager

Position Summary

The Training Center Administrative Assistant provides administrative, logistical, and operational support for the Training Department at our manufacturing facility. This role is critical to ensuring a professional, organized, and welcoming training environment for employees, customers, and external participants.

The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing multiple priorities while maintaining a clean, well-run training center. This is an hourly, hands-on role that supports both administrative functions and day-to-day facility readiness.



Key Responsibilities

Training Administration & Scheduling



  • Maintain and manage the training calendar, including classrooms, labs, instructors, and participants
  • Coordinate training registrations and respond to participant inquiries
  • Enter and maintain training certifications, attendance records, and completion data
  • Prepare, distribute, and track training materials and certificates
  • Support program evaluations and assist with tracking feedback to improve future training sessions



Facility & Logistics Support



  • Prepare and organize training rooms and labs, ensuring rooms are set up appropriately prior to each session
  • Coordinate hotel accommodations for training participants and instructors
  • Arrange catering services, including ordering, delivery or pickup, setup, and cleanup
  • Stock hospitality supplies, including refrigerator items, beverages, coffee, and snacks
  • Maintain overall cleanliness and organization of training spaces, kitchens, and common areas



Administrative & Office Support



  • Answer phones and welcome students, instructors, and visitors
  • Order office and training supplies as needed
  • Prepare and edit correspondence, memos, reports, and training-related documents
  • Serve as a primary point of contact for instructors, participants, vendors, and visitors



Event & Technology Support



  • Assist with training events by preparing materials, coordinating logistics, and setting up technology
  • Support audiovisual and classroom technology needs before and during sessions



Essential Skills & Competencies



  • Technical: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Organizational: Strong attention to detail, time management, and ability to prioritize tasks
  • Interpersonal: Excellent verbal and written communication skills; professional demeanor when working with diverse groups
  • Work Style: Self-directed, discreet, and able to anticipate needs and resolve issues proactively
  • Confidentiality: Ability to handle sensitive information with discretion


Qualifications

  • High school diploma or equivalent required
  • 5+ years of office or administrative support experience
  • Strong calendar management and scheduling skills
  • Excellent organizational and communication skills
  • Valid driver's license



WORK CONDITIONS



Physical Demands/Work Environment:



This position regularly requires walking, standing, sitting, stooping, bending, kneeling and climbing stairs. It also often requires pushing, pulling, twisting, lifting 50+ lbs. and working in a variety of weather conditions and noise levels.
