The purpose of this position is to provide support and assistance to internal and external customers regarding City of Allen Human Resources functions and activities. This is accomplished by processing personnel changes, employee information changes, and assisting employees and departments with HRIS questions and training. This position also coordinates personnel record updates with Finance to ensure accurate and timely payroll processing. This position does not provide direction to other employees.

Essential Functions

The following duties ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification, only a representative summary of the primary duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.

  • Maintains HRIS by reviewing the changes for policy and procedure compliance, updating employees' pay, position, status, benefits, and demographic changes in the HRIS, and coordinating with payroll for final processing.
  • Assists in the implementation of additional HRIS modules and system updates by researching functionality, determining the impact of change, performing system testing, and creating/updating training guides for departments.
  • Serves as main contact for employees and departments for HRIS related questions and training by responding to inquiries and requests for information.
  • Assists other human resource staff and departments by producing reports and queries of HRIS data.
  • Researches software issues and recommends solutions by coordinating with IT, Payroll, and HRIS vendor to determine the cause and the action need to correct the problem and communicate the issue/change to appropriate personnel.
  • Provides administrative support by answering phones, greeting employees and the public and serving as backup to Administrative staff.
  • Performs other duties as assigned.

Job Requirements

Education & Experience

Work requires broad knowledge in a general professional or technical field. A typical way to obtain the required qualifications would be:
  • Bachelor'sdegree plus one (1) year of relevant work experience; OR
  • Associate's degree plus three (3) years of relevant work experience; OR
  • High School diploma or equivalent plus ten (9) years of relevant work experience
Education must be related to a field such as Business Administration or HR Management. Exposure to HR related processes such as employment eligibility verification, policy interpretation, and HR procedures; preferred. Other combinations of education and experience may be considered.

Certification and Other Requirements
  • Valid Class C Driver's License.

Special Requirements
  • Must be able to pass required pre-employment screenings, CJIS and fingerprint check, and have the ability to comply with state and federal requirements for Criminal Justice Information Security standards.

Physical Demands / Work Environment:
