Neuronetics is seeking a highly skilled and proactive Executive Assistant & Facilities Administrator to join our team in Malvern, PA. This dual-impact role provides high-level administrative support to our Executive Leadership team while overseeing daily office operations and facilities management in a fast-paced, growing environment. Key Responsibilities

Executive Support

  • Provide comprehensive administrative support to Executive Leadership, including complex calendar management, travel arrangements, and phone support.
  • Develop high-quality presentation slides, documents, and internal communications.
  • Prepare detailed expense reports and reconcile them with credit card statements and receipts.
  • Support critical business functions such as quarterly updates, earnings calls, strategy planning, and board meetings.

Facilities & Office Operations

  • Manage reception duties, including welcoming guests and handling all incoming packages and deliveries.
  • Oversee daily office operations: distributing mail, ordering office and kitchen supplies, and ensuring all common areas (kitchen, conference rooms, mailroom) remain neat and well-stocked.
  • Coordinate company meetings and events, including catering logistics.
  • Manage office space logistics, including setting up/cleaning cubicles for new hires and providing office tours.
  • Liaise directly with vendors to manage building cleanliness, security, repairs, and general operations.

Qualifications

  • Experience: 10+ years of high-level administrative experience supporting senior leaders within a public organization.
  • Education: Associate's or Bachelor's degree preferred.
  • Technical Skills: Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook) is required.
  • Communication: Exceptional oral and written communication skills with a strong ability to build collaborative relationships.
  • Attributes: Highly organized, able to maintain strict confidentiality, and proactive in anticipating and resolving problems before they arise.

Preferred Skills:

  • Experience in the Medical Device or Health Services industries.
  • Background working in a start-up environment.
  • Previous management experience.

Physical Requirements & Travel

  • Ability to stand, sit, walk, bend, or stoop (50% standing/sitting; 50% walking/bending/stooping).
  • Ability to lift up to 10 pounds.
  • Occasional travel (less than 5%) by air, rail, or auto.

Benefits Statement: Selected candidate will be eligible to participate in the Company's employee benefit plans, which currently include: health insurance; dental insurance; vision insurance; optional supplemental medical insurance; health savings and flexible spending accounts; company-paid life insurance and additional voluntary life insurance; company-paid short term disability and long term disability insurance; participation in a 401(k) savings and investment plan with company contribution; and paid time off for non-exempt salaried employees is calculated as .625 per pay period worked for vacation time and .29166 per pay period for personal time. Full-time exempt employees will be eligible for Flex-PTO, which allows time off without accrual. If applicable and required under state law, the successful candidate will also be eligible for paid sick leave. These benefits are subject to plan terms, company policies and are subject to change.
