This position will serve as the administrative coordinator for the Finance and Administration office of Cellular & Molecular Medicine. The individual will provide specialized support to the department head, business administrator, research accountant, and program coordinators, as well as general support to the faculty. | Duties & Responsibilities |
Financial Support:
- Process SET's, GEC's, P-Card reconciliations, travel and expense reimbursements.
- Submits purchase requisitions, purchase orders, and processes ICON's.
- Gathers financial information in analytics and provides ad hoc reports.
- Manages inventory process for department.
- Check the financial documents for accuracy, completeness, and compliance with pertinent university regulations.
Academic Support:
- Assists and coordinates travel arrangements for visiting scholars and guest speakers.
- Assists academic program coordinators with schedule of classes and room scheduling.
- Assists with room preparation and break down for visiting scholar presentation.
General Support:
- Liaise with UAHS Planning and Facilities on pending projects.
- Serve as the Department Access Coordinator (DAC) and building manager for the department.
- Work with Amer-X Security and in the DAC Portal to provide and remove building access for authorized personnel and provide schedule adjustments when necessary.
- Submit repair service request orders to Facilities Management and follows up for completion.
- Oversees maintenance of conference room and parking pass calendars, makes room reservations for meetings as needed.
- Runs departmental errands making deliveries and pick-ups from the main campus.
- Event planning and coordination of in-house events to include, but not limited to, arranging logistics, catering, manning and setup, and other duties specific to the type of event.
Administrative Support:
- Orders office supplies, drafts and sends out correspondence to internal and external stakeholders, submits and manages IT tickets for faculty, submits and manages facilities requests on behalf of faculty and the department.
- May be tasked with the preparation for meetings, interviews, and presentations.
- May be asked to escort guests to and from various building within UAHS campus.
- Answers telephone and greets visitors giving general information in response to inquiries.
- Maintains coverage of business office's reception desk.
- Manages department web page, social media accounts, marketing materials, and annual reports, including making routine edits and updates on an as-needed basis.
Knowledge, Skills, and Abilities:
- Strong initiative and prioritization skills.
- Excellent communication skills.
- Knowledge of finance principles.
- Ability to multitask.
- Ability to work as part of a team and independently.
- Ability to research, analyze, and use independent judgment in a variety of daily and non-routine decisions affecting assigned duties.
- Proficiency in Microsoft Word, Excel, Outlook, and Teams.

| Minimum Qualifications |
- Bachelor's degree or equivalent advanced learning attained through experience required.
- 1 Year of relevant work experience required.

| Preferred Qualifications |
- Prior UA experience preferred.
- Experience with UAccess financials and analytics preferred.
- Knowledge of UA financial policies and procedures preferred.
