POSITION SUMMARY

We are seeking a highly organized and discreet Executive Assistant to support our President and Vice President of Business Development and Marketing. This role requires a proactive multitasker with exceptional communication skills and a commitment to excellence in administrative operations.

SPECIFIC RESPONSIBILITIES and tasks

  • Serve as a strategic partner and trusted right hand to the President and VP, ensuring seamless day-to-day operations and informed decision-making.
  • Manage complex calendars with precision, coordinating both professional and personal commitments to maximize efficiency.
  • Orchestrate meetings, both on-site and off-site, internally, and externally.
  • Embrace collaboration by working closely with other admins across the firm.
  • Handle sensitive matters with the utmost confidentiality and discretion.
  • Coordinate domestic and international travel, ensuring smooth itineraries and timely arrangements.
  • Manage email accounts efficiently, ensuring timely responses and prioritizing critical communications.



QualificationS

To perform this job successfully, the individual in this position must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the minimum knowledge, skills and ability required.

Education and Experience

  • Bachelor's Degree preferred; similar experience considered.
  • A minimum of 10 years of experience supporting senior management in the construction industry or a related field.
  • Knowledge of management principles and contract administration to understand the intricacies of the construction industry and help navigate complex projects.
  • Exceptional organizational skills, allowing you to handle multiple high-level tasks simultaneously to keep things running smoothly.
  • Proficiency in Microsoft Office Suite.
  • Attention to detail and focus on quality and accuracy to ensure that nothing falls through the cracks.
  • Problem-solving and the ability to make sound decisions under pressure.
  • Commitment to continuous improvement and staying updated on industry trends and best practices.
