The Office of Admissions Engagement and Outreach at West Virginia University is currently accepting applications for an on-site Admissions Assistant 3.

About the Opportunity

Reporting to the Assistant Director, this position covers the broad nature of the Office of Admissions Engagement and Outreach, servicing student recruitment, outreach and in-person visitor traffic for the office. This position is an important front-facing role in the Office of Admissions Engagement and Outreach in working with prospective students and families interested in learning more about West Virginia University.

What You'll Do

  • Counsel (in-person, telephone and email) students and other visitors with expertise in the following areas: College Admissions, Financial Aid, Scholarships, Housing, Student Accounts, Registration, New Student Orientation and Admissions.

Admissions

  • Deliver twice-daily presentations to prospective students and their families at the WVU Visitors Center. Engage with guests during sessions by answering questions about enrollment and provide one-on-one counseling before and after each presentation.
  • Advise students and parents on the admission processes. Provide assistance with the completion of admission applications. Review student admissions and academic transcript information as it pertains to admissions requirements. Assist students and/or parents with interpretation of specific WVU policies such as admissions policies, FERPA, residency, etc. Use BANNER and Workflow to respond to these inquiries.
  • Service the needs of guests that visit the Office of Admissions including answering questions about application and admission process at WVU as well as accepting documents for admission purposes.
  • Aid students in understanding the process of transferring credit. Ensure that students are aware of all steps necessary to have their credits added and that students understand how their credits transfer into WVU.
  • Coordinate 25-50 weekly incoming requests from students, counselors, teachers, and alumni to send print materials and giveaways to individuals or groups that request them.
  • Conduct one-on-one admissions meetings to counsel interested students and their families on academic programs, admissions requirements, housing, cost and aid, and Student Life at WVU. This includes assisting prospective student visitors in completing an application, paying academic and housing deposits, completing a housing application, applying for federal aid, and registering for New Student Orientation.
  • Document communications in university-wide Customer Relationship Management System for future outreach by WVU representatives.
  • Make outbound calls as needed for event confirmations, incomplete applications, or other processing related outreach.
  • Counsel prospective students, families, counselors, and WVU administrators via telephone coverage of the general Admissions line and Admissions email. This entails answering the phone, looking up records in Banner and CRM, and providing accurate information to the caller.
  • Assist in the management of projects to help further recruitment efforts. This includes putting together recruitment material to be sent to high school personnel, processing incoming and outgoing mail, logging demographic data, tracking and maintaining electronic transcripts, and during peak times assists in the evaluation of First Time Freshmen applications through partnership with the evaluation's unit.
  • Assist with all external mailing requests from educational stakeholders and alumni to ensure appropriate information and materials are received upon request.
  • Assist with incoming high school transcripts and send through the management scanning depot for Office of Admissions
  • Evaluate freshman applications by reviewing high school and/or college transcripts and calculate grade point averages to determine admission eligibility or other tasks required to speed the processing of applications. These may be processed at the Visitors Center, high school visits, open houses, and peak periods in the admission processing.
  • Represent WVU at Discover WVU, Decide WVU, Junior Open House, New Student Orientation, Honors Events and in-market recruitment events.
  • Consistently follow-up with students from initial contact through enrollment to assure students have every opportunity to enroll. This includes maintaining open communications via phone, e-mail and surface mail as needed and recruiting students equally regardless of race, religion, or socioeconomic background.
  • Support New Student Orientation and Onboarding initiatives.

    Centralized Student Recruitment Data Management

  • Create and analyze reports in CRM to assist and support recruitment outreach.
  • Provide crucial student data management in institution-wide CRM system to ensure all students are communicated to effectively, efficiently, and accurately.
  • Quickly update student profiles, track changes, and ensure real-time accuracy across departments (admissions, academics, financial aid). Report on demographic data of visitors to Office of Admissions Engagement and Outreach to provide a holistic view of visitors to campus.
  • Store and access all student information (contact details, academic history, engagement records) in one place for easy updates and accuracy.
  • Log all visitor meetings in institution-wide CRM system to ensure each point of the recruitment process of a student is documented.
  • Report on email, phone, and foot-traffic metrics for the Office of Admissions Engagement and Outreach. Report metrics regularly to the Director, Senior Director, and Executive Director in an ongoing basis.
  • Regularly use Banner in an effort to provide clear, concise, and accurate information for any and all prospective students who interface with the office.
  • Generate reports on recruitment, student progress, campaign performance, and engagement metrics to inform decision-making.
  • Support WVU Visitors Center in creating and implementing strategic yield enhancement plan from the time of a student's visit to enrollment at WVU. This includes targeted outreach that may include specialized email, phone calls, and other tactics.
Qualifications
  • Associate degree

  • A minimum of one (1) year of experience in college admissions counseling, public relations, sales & marketing or other related experience.
  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.

    Knowledge, Skills, and Abilities

  • Demonstrated excellent and oral communication skills.
  • Ability to rapidly learn WVU Admissions requirements, housing and financial aid requirements.

  • Must be able to work in fast paced environment
  • Knowledge of Microsoft suite products, Zoom, and CRM would be helpful.
  • Time management, attention to detail and organizational skills,
  • Ability to relate to diverse populations of prospective students and families and the ability to counsel them.
