JOB SUMMARY, DESCRIPTION & QUALIFICATIONS:

Job Summary

The Administrative Assistant for Agricultural Sciences, Utilities, and Transportation provides comprehensive administrative support to the Dean, Learning Coordinator, Project Coordinator, faculty, and students. Key duties include managing schedules, organizing meetings, coordinating events, maintaining records, and overseeing office operations. The role involves assisting with Workday tasks and technical support. Additionally, the Assistant serves as a communication liaison, manages social media for the Agriculture Center of Excellence, and supports student and faculty needs, ensuring efficient and seamless division operations.

Essential Functions and Responsibilities

The following duties are primarily performed and are essential for this position. Employees are expected to be able to perform each of these job duties satisfactorily and successfully with or without reasonable accommodation.

Administrative Support

  • Provide administrative support to the School of Agricultural Sciences, Utilities, and Transportation including creating reports, spreadsheets, data entry, Workday assistance, calendaring, scheduling, document retrieval, research, andassisting with questions and needs of students, faculty, and staff.

  • Schedule meetings, prepare agendas and materials, and take minutes.

  • Coordinate the Dean's calendar and travel arrangements.

  • Manage copier room organization, inventory, and office supply ordering for administration and programs.

  • Assist the Learning Coordinator with class scheduling.

  • Monitor the CDL email and course requirements, including motor vehicle record (MVR), evaluating driving records (if permitted), mailing drug test forms, updating the random drug test list, booking driving pads, and scheduling CDL tests and re-tests.

  • Maintain an updated advisory contact list for the department, schedule all advisory meetings and take minutes.

  • Submit activity pay for faculty and adjuncts.

  • Complete Workday budget requests, review budget reports and divisional purchases.

Communication

  • Serve as a communication link with leadership, faculty, and community partners.

  • Provide technical assistance and training for staff and students in the operation of the use of campus technology.

Events

  • Assist with coordinating, promoting, setting-up, and managing special events, trainings, program orientations.

  • Manage Social Media pages for the Agriculture Center of Excellence and digital displays at the farm.

  • Collaborate with Learning Coordinator, Agriculture Outreach Specialist, NTC K12 team, Program Directors and program faculty to ensure activities are ready for K12 events.

  • Participate in K-12 events, College Exploration Days, career fairs and other marketing events.

Minimum Qualifications Required

In limited circumstances, NTC may consider a combination of education, training, and experience which provides the necessary knowledge, skills, and abilities to perform the duties of this position.

Education: Associate's Degree (or Equivalent)

  • Additional, pertinent experience will be considered as an equivalent of two years' post-secondary education.

Experience: 2 Years

Additional Experience Information:

  • Proficiency in computer technologies including Word, Excel, Outlook, Adobe, and ability to type 45 wpm, required.

  • Proficiency in oral, written, and electronic communication skills, required.

Knowledge, Skills and Abilities

Ability to actively listen, discern key information, and respond professionally; ask follow up or clarifying questions to diffuse escalated situations and offer appropriate problem resolution when necessary.
