The Recruiting Operations Coordinator is the lead team member in the creation, implementation and execution of the programs in campus recruiting operations. This role is responsible for creating and communicating itineraries to recruits, their families and the coaching/recruiting staff prior to the on-campus visit. They work with vendors (hotels, restaurants, entertainment) prior to visits and will have a reach to different departments on campus (Academics, Housing, Player Development) to create a unique visit experience.

This position requires the ability to work a flexible schedule, including nights and weekends, and travel as needed.

Duties & Responsibilities

Unofficial Visits

  • Oversee the creation and implementation of all unofficial visit plans and itineraries.
  • Oversee on campus tours (facility, campus, academics, housing) for unofficial visits.
  • Oversee Home Game Recruiting Tailgates / Gameday Visits / Spring Ball / Junior Days.
  • Entry/Ticket Distribution, Event setup and breakdown.
  • Production of lanyards for recruits and guests.
  • Food, Beverage and entertainment arrangements for tailgates.
  • Submit all receipts/meals lists to within business office protocol.
  • Create and submit all ARMS forms needed for unofficial visits (including receipts, etc..).
  • Execute the logistics of the unofficial visit itinerary (Hotel Check In, Hotel Room Lists, Advancing Meals, Tours and Meetings).

Official Visits

  • Oversee the creation and implementation of all official visit plans and itineraries.
  • Consult with the Director of Scouting and General Manager on the identification of top prospects for official visits (pending HC approval).
  • Work with the Coordinator of Recruiting Strategy to find critical items in the recruit of the prospect and their families for the official visit.
  • Submit all official visit plans and itineraries to General Manager prior to the events for approval.
  • Submit expected spend for each trip o General Manager prior to the events for approval.
  • Create and submit all ARMS forms needed for official visits (including receipts/host forms, etc).
  • Execute the logistics of the official visit itinerary (Hotel Check In, Hotel Room Lists, Advancing Meals, Tours and Meetings).
  • Oversee on campus tours (facility, campus, academics, housing) for official visits.
  • Create relationships with vendors (car services, hotels, restaurants) for use during official visits.
  • Communicate with prospects and their families to obtain all personal information needed for official visits logistics.
  • Coordinate with the Creative Team and oversee the execution of on campus Photo Shoots.
  • Supervise the student intern group for all operational duties needed on official visits.

Administrative

  • Assist Director of Scouting on booking coaches travel for open recruiting periods.
  • Maintain constant communication with the University of Arizona business office making sure all Pcard/invoices/cash vouchers are being processed correctly and in a timely manner.
  • Coordinate with the General Manager and Chief of Staff for budget creation and monitoring.
  • Maintain constant communication with the University of Arizona compliance office making sure all compliance forms that pertain to recruiting operations are being processed correctly and in a timely manner.
  • Understand all policies/provides from the University of Arizona compliance office regarding NCAA Rules and procedures.
  • Understand all policies/provides from the University of Arizona business office regarding NCAA Rules and procedures.
  • Assist with any operational duties as requested by the Head Coach/ Chief of Staff or Director of Football Operations.
  • Budget accountability.
  • Other duties as assigned.

Minimum Qualifications
  • Bachelor's Degree
  • One year of experience
Preferred Qualifications

  • Two years of experience in football recruiting operations (FBS).
