The Mail Services Representative supports the day-to-day operations of the Corporate Mail Center by handling a variety of critical tasks related to mail processing, package distribution, equipment operation, and internal tracking. This role is responsible for ensuring timely and accurate handling of all incoming and outgoing correspondence while maintaining service level expectations and supporting overall departmental workflow.

Key Responsibilities:
  • Collect, sort, and distribute incoming and outgoing mail and packages.
  • Operate inserting equipment (2D, OMR, and non-barcoded) to process print jobs.
  • Prioritize inserting tasks in alignment with established SLAs.
  • Perform manual reconciliation of correspondence and ensure accuracy of processed items.
  • Operate postage meters, including performing postage downloads.
  • Monitor supply levels and order postal materials as needed.
  • Perform routine equipment checks and report maintenance needs.
  • Use handheld devices for internal tracking and delivery verification.
  • Conduct research and tracking activities using Send Suite systems.
  • Complete internal and offsite delivery routes as assigned.
  • Operate scanning equipment for digital processing.
  • Utilize shipping software for package preparation and administration.
  • Run and submit postage and mailing metric reports through Business Manager.
  • Provide operational support to team members to ensure consistent daily workflow.
Experience:
  • 2-5 years of experience preferred, ideally in an environment with advanced equipment or software.
  • Working knowledge of inserting equipment preferred.
  • Familiarity with USPS guidelines and postal regulations preferred.
  • Understanding of general Mail Center operations.
Requirements and Abilities:
  • Proficient keyboarding and basic computer skills.
  • Ability to type 35-50 WPM with accuracy.
  • Basic proficiency in Microsoft Excel and Word.
  • Experience using Microsoft Outlook, including handling attachments.
  • 1-2 years of experience in an office or customer-facing environment.
  • Ability to maintain professionalism in fast-paced or high-pressure situations.
  • Strong verbal and written communication skills.
  • Ability to adapt to shifting priorities, troubleshoot issues, and meet strict deadlines.
  • Must be able to lift up to 30 pounds.
  • Willingness and ability to learn new systems, equipment, and procedures.
  • Demonstrated capacity to understand and follow new processes.
Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
