The Career Development Center in the Chambers College of Business and Economics at West Virginia University is currently accepting applications for a (Hybrid) Experiential Learning Coordinator. About the Opportunity The Experiential Learning Coordinator will design, coordinate, and manage experiential learning opportunities that prepare students for career success through hands-on professional experiences. This position will develop and oversee externships, industry trips, site visits, and other out-of-classroom learning initiatives that enhance student resumes and create competitive job candidates. The coordinator will serve as a key liaison between the college, industry partners, and students while ensuring operational excellence and measurable outcomes. What You'll Do Experiential Learning Program Management
- Design, coordinate, and execute experiential learning programs, such as externships, micro-internships, industry trips, skills bootcamps, and more, while developing strategic partnerships with employers and industry professionals
- Develop comprehensive program timelines and manage all logistics, including transportation, accommodations, site visit schedules, and vendor relationships
- Oversee student recruitment, selection, and placement processes for experiential learning opportunities
- Provide pre-departure orientation and preparation to ensure students understand professional expectations and learning objectives
- Conduct industry research to identify emerging career trends and create structured learning frameworks with assessment tools
- Conduct post-program evaluations to measure learning outcomes, student satisfaction, and employer feedback to inform continuous improvement
- Collaborate with faculty and CCD staff to integrate experiential learning with curriculum and career readiness initiatives
- Partner with Chambers College student organizations to identify and execute programs designed to prepare their members for the workforce
- Contribute to strategic planning sessions and perform other duties as assigned to support the mission of the Chambers College
Industry Relations and Stewardship
- Cultivate and steward relationships with employers, industry professionals, and alumni through site visits and consultations
- Serve as the primary point of contact for employer partners and create employer orientation materials to ensure quality student placements
- Develop recognition strategies to acknowledge employer contributions to student learning
Student Support and Coaching
- Advise students on selecting appropriate experiential learning opportunities aligned with their career goals
- Develop marketing strategies and create student-facing resources, including program guides, application materials, and preparation toolkits
- Support students during experiential learning experiences, troubleshoot issues, and ensure quality learning experiences
- Facilitate reflection activities to help students articulate experiential learning on resumes and in interviews
Budget, Financial Management, and Reporting
- Build comprehensive program budgets, monitor expenditures, and create profit and loss (P&L) reports for leadership review
- Process invoices, purchase orders, and reimbursements while tracking cost-per-student metrics and return on investment
- Research potential funding sources, including grants and sponsorships for program expansion
- Develop assessment strategies, prepare regular reports on program metrics and outcomes, and maintain database systems to track participants and partners
- Assist with grant and donor reporting requirements and benchmark programs against peer institutions to drive continuous improvement
Operations, Compliance, and Collaboration
- Maintain compliance with university policies and coordinate liability waivers, vendor contracts, insurance documentation, and safety protocols
Qualifications
- Bachelor's degree in a related field.
- A minimum of two (2) years of experience in the following:
- Experience in higher education, career services, experiential learning, employer relations, or related field
- Demonstrated experience with event planning, program coordination, and logistics management
- Proven track record of building and maintaining professional relationships with external partners
- Experience managing budgets and financial reporting
- Any equivalent combination of related education and/or experience will be considered.
- All qualifications must be met by the time of employment.
Knowledge, Skills, and Abilities
- Strong project management and organizational skills with ability to manage multiple programs and meet deadlines
- Excellent communication and relationship-building skills with diverse stakeholders
- Proficiency with budget development, monitoring expenditures, and creating financial reports
- Experience with database management systems and Microsoft Office Suite
- Commitment to student success and understanding of career readiness
- Ability to work independently, problem-solve, and exercise sound judgment
- Flexibility to work occasional evenings and weekends and travel with students for multi-day programs
Preferred Qualifications
- Master's degree in business, Human Resources, Communications, Higher Education, or related field.
