JOB SUMMARY

We are seeking an Administrative Coordiantor to assist the division leadership in managing daily operations across the divisions, overseeing and supporting administrative staff, and providing coverage as needed to ensure continuity of operations. This position reports directly to the Division Administrator, with a dotted line to Division Chief.

JOB DUTIES AND RESPONSIBILITIES



  • Assist Division Leadership in managing daily operations across Surgical Oncology and Minimally Invasive Surgery, overseeing and supporting 17+ administrative staff.
  • Managing timecards, attendance, and HR related concerns while ensuring consistent coverage during absences or vacancies.
  • Conduct consistent 1:1 check-ins with administrative staff to provide guidance and support.
  • Implement and communicate divisional policies and procedure to maintain consistency and compliance.
  • Serve as a liaison between administrative staff, division leadership, and department.
  • Monitor administrative processes, recommend improvements, and prepare operational summaries as needed.
  • Other duties as assigned.



JOB ELIGIBILITY REQUIREMENTS



  • Work requires a general business background generally equivalent to a bachelor's degree in a business related field.

  • Work requires 2 years related business or administrative experience to become familiar with general personnel practices, accounting and budgeting principles and coordination of major office activities.A master's degree in a business related field may be substituted for 2 years experience.OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.



  • Demonstrated leadership experience managing staff across multiple areas.



  • Strong communication and interpersonal skills for effective 1:1 check-ins and staff support.



  • Proven ability to handle HR related duties, including timecards, attendance, and performance concerns.


  • Reliable and adaptable, able to maintain operations during staff absences or shortages.



JOB HOURS

The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
