About This Role
The Office Specialist II provides essential administrative and customer service support for the K-State Gardens. Reporting to the program coordinator at the Gardens, this position handles routine tasks such as processing payment vouchers and timesheets, arranging travel, entering data, assisting with marketing, and scheduling events. The role involves working closely with department staff to ensure smooth daily operations and support senior team members. While the position is supervised, it may also include training or guiding others as needed.

The Office Specialist for the K-State Gardens is a key member of Kansas State University's External Engagement team, which works to position K-State as a forward-looking land-grant institution. Worksite Description
This position is On-site. All employees must reside in the United States when they begin working to comply with state law. K-State is unable to provide remote or hybrid work opportunities for residents of the state of Idaho.
What You'll Need to Succeed
Minimum Qualifications:
- One year of relevant experience.
Preferred Qualifications:
- Bachelor's Degree
- Computer skills, including Microsoft Office, databases, and content management systems (CMS).
- Knowledge of the Family Educational Rights and Privacy Act (FERPA).
- Experience working with K-State systems, such as KSIS and K-State Online.
- Demonstrated experience with event planning.
- Strong customer service skills, a demonstrated capacity to complete multiple projects, robust organizational skills, and the ability to assist the respective office leads with complex, detailed tasks.
- Established track record of having exercised independent judgment with minimal oversight.
- Ability to organize and clearly express information both verbally and in concise written form.
- Ability to maintain a high level of confidentiality.
- Ability to establish and maintain effective working relationships with coworkers and representatives of other agencies and/or departments.
- Ability to plan, organize, and develop record keeping processes.
- Knowledge of accounting principles, practices, and standards.
- Knowledge of procurement practices and procedures, including university policies and regulations.
- Prior experience working in an office setting.
