A Brief Overview
This role oversees the daily operational management of the business and financial activities of the department, including financial report analysis and preparation of variance reports, accounts payable, payroll and other related activities.

This position also provides direct supervision of department administrative support staff.

What you will do

  • Manage day-to-day expense operations.
  • Assist with the annual budget preparation.
  • Work with financial and outside partners to address financial operations.
  • Review charge entries.
  • Partner with Payroll, Accounts Payable, and Vendors regarding billing issues as needed.
  • Submit written variance reports.
  • Reconcile all accounts on a monthly basis, request necessary corrections within one week of discovering discrepancies. Follow up to ensure that all changes are made in CHOP Finance.
  • Prepare monthly detailed and summary financial reports to track and trend operations.
  • Ensure optimal utilization of all available financial resources.
  • Conduct financial analyses as requested by Director/Manager, expenses by cost center, financial feasibility of new programs.
  • Maintain an accounting system for all divisional expenditures.
  • Develop appropriately related financial dashboards for all divisions of the department.
  • Attend a variety of operational and financial meetings, creating and/or arranging for materials to be reviewed, summarizing and following up on next steps and collecting/collating necessary information.
  • Process and track all annual Purchase Orders and ensure all funding and related information is in line with current related contracts.
  • Proactively identify financial opportunities related to the department.
  • Prepare and distribute monthly productivity reports
  • Work with Manager on dashboard development for division.
  • Generate other reports as needed upon request.
  • Manage Administrative Support personnel.
  • Proactively identify operational opportunities and problems related to the daily operations of the front office of the department.
  • Develop goals, improve processes and implement change based on ongoing service needs.
  • Develop, coach and evaluate staff under direct supervision.
  • Manage staff matters, ensuring that all positions under direct supervision are staffed daily and coordinate cross-coverage of staff duties when absences occur.
  • Develop and maintain a supportive relationship with staff which promotes teamwork, emphasizes quality and extraordinary service and promotes learning.
  • Works to ensure EPIC Command Center is functioning efficiently to insure departmental goals are met/exceeded.
  • Reassign administrative support staff when necessary to accomplish time-sensitive work.
  • Conduct annual performance reviews of staff.
  • Identify training needs among staff and make recommendations to Operations Manager.
  • Participate in the selection of qualified, competent staff.
  • Orient new staff to the division and to their job responsibilities
  • Receive notice and arrange staff coverage accordingly.
  • Manage timekeeping activities and related personnel issues.
  • Maintain and update all management personnel files and associated documentation.
  • Coordinate the prompt and accurate administration of CHOP requests for time off for administrative support personnel in accordance with CHOP and/or Department policy and deadlines.
  • Develop and maintain a supportive relationship with staff which promotes teamwork, emphasizes quality and extraordinary service and promotes learning.
  • Other miscellaneous responsibilities.
  • Provide secretarial support to Director/Operations Manager.
  • Assist on projects as requested.

Education Qualifications

  • High School Diploma / GED - Required
  • Bachelor's Degree in an accounting, finance, business or related field - Preferred

Experience Qualifications

  • At least three (3) years of accounting, finance, or business operation experience - Required
  • At least one (1) year of leadership, management or supervisory experience - Required
  • At least five (5) years of accounting, finance, or business operation experience in a healthcare related environment - Preferred
  • At least three (3) years of leadership, management or supervisory experience - Preferred

Skills and Abilities

  • Advanced proficiency with financial accounting software (Lawson)
  • Advanced proficiency with business intelligence software (Business Objects)
  • Advanced proficiency with spreadsheet software (Microsoft Excel)
  • Intermediate proficiency with word processing software (Microsoft Word)
  • Intermediate proficiency with electronic medical record software (EPIC)
  • Basic knowledge of medical terminology and protocols
  • Excellent verbal and written communication skills
  • Excellent time management skills
  • Excellent organizational skills
  • Ability to gather, analyze and make recommendations/decisions based on data
  • Ability to maintain confidentiality and professionalism

SALARY RANGE:

$67,500.00 - $86,060.00 Annually

Salary ranges are shown for full-time jobs. If you're working part-time, your pay will be adjusted accordingly.
