The Portal Coordinator / Sales and Use Tax Assistant supports the processing of customer invoices through digital portals and assists with maintaining compliance with sales and use tax requirements. This role focuses on accuracy, organization, and cross-department collaboration to ensure smooth billing and tax documentation processes. Portal Coordination Duties Upload and track customer invoices through designated portals (e.g., Ariba, Coupa, SAP) Monitor portal notifications to confirm invoice receipt and payment status Escalate invoice issues such as rejections or discrepancies to appropriate internal teams for resolution Sales and Use Tax Support Duties Collect and organize customer sales tax exemption certificates Review orders to confirm proper tax status under supervision Maintain accurate records and assist in preparing documentation for audits Support updates to tax processes as directed Qualifications 1-3 years of related experience in billing, invoicing, or tax administration preferred Strong attention to detail and organizational skills Proficiency in Microsoft Excel and familiarity with ERP systems Effective communication and follow-up skills Requirements Sales and Use Tax Support Duties Collect and organize customer sales tax exemption certificates Review orders to confirm proper tax status under supervision Maintain accurate records and assist in preparing documentation for audits Support updates to tax processes as directed Qualifications 1-3 years of related experience in billing, invoicing, or tax administration preferred Strong attention to detail and organizational skills Proficiency in Microsoft Excel and familiarity with ERP systems Effective communication and follow-up skills Location(s) 50 Old Webster Road, Oxford , Massachusetts 01540 , United States Employment Type Non-Exempt Wage Information MA: 17.49 - 23.18/hr US Benefits Information Pay Range: The pay range on this posting applies to the role in the primary location specified. Actual starting pay is determined by a number of factors including relevant skills, qualifications, and experience.
