Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full salary range for this position is $65,700 to $115,100/year.

Department Marketing Statement:

As part of Housing, Dining & Auxiliary Enterprises (HDAE), Residential Operations is responsible for the physical plant administration of the HDAE portfolio that exceeds 4.3 million gross square feet of facilities that house over 10,000 residents on campus. In addition, the over 245 career staff in Residential Operations provide physical plant services to various University owned facilities including conference centers, administrative offices, the University Center, Events Center, The Club & Guest House, parking facilities, and retail operations that serve on average 21,000 customers daily and host over 150,000 guests annually. For all of campus departments including academic divisions, Residential Operations oversees the functions of Distribution & Logistical Services (DLS) inclusive of Furniture Services, Surplus Sales, Mail Services, Central Receiving, and Materiel Management & Logistics. The DLS Furniture Services & Surplus Sales programs operate on recharge and revenue, and the crew provides essential services to all departments and divisions across campus.

Brief Summary of Job Duties:

The Furniture Services & Surplus Sales units of Distribution & Logistical Services provide recharge services to all campus divisions and departments by following workflows established with the computerized maintenance management software WebTMA. Staff supervised by the Manager of Furniture Services provide the labor, material, and equipment necessary to perform a variety of jobs for campus clients, including but not limited to office reconfigurations, lab relocations, furniture installations, modular systems furniture modifications, heavy equipment receiving, and several related tasks at all University-owned properties. Responsible for determining and obtaining the labor and equipment resources necessary to complete jobs, coordinate closely and effectively with customers and departmental staff, consult and advise department personnel on service needs and estimates, prioritize work scheduling, follow up and inspect work, and be flexible in dealing with shifting priorities and unforeseen challenges. This Manager and crew provide logistical support for the delivery, removal, donation, re-sale or disposal of inventorial equipment, as well as furniture rentals and setup/takedown for high-profile University events including but not limited to Move-In, Convocation, Parents & Family Weekend, Open House, Staff Appreciation, Commencement, Summer Conferences, and several other luncheons, receptions, and departmental events to achieve program objectives and to promote ongoing relationship building between students, staff, faculty, alumni and donors. The Surplus Sales duties are to support the administration of the campuswide disposition or transfer of excess University-owned property, and specifically the Equipment Inventory Modification Request procedures and policies for disposing, transferring, recycling, or donating inventorial equipment. Responsible for the fiscal oversight of all Furniture Services & Surplus Sales functions, implementing workflows and processes with WebTMA, Oracle Financial Cloud, and point of sale systems to accurately account for revenue, expenses, and to ensure the financial solvency of the unit. Oversees both union represented career staff and student staff, and supervises both with an emphasis on proper training, workplace safety, equipment operation safety, work performance, and positive teamwork dynamics.

Required Qualifications:

  • 2-4 years oversight experience of a warehouse, stockroom, or similar shipping and receiving center.
  • Minimum of two years supervisory experience demonstrating the ability to coach and mentor staff.
  • Forklift certification within 120 Days

Preferred Qualifications:

  • Bachelor's Degree or equivalent combination of relevant experience, certifications and training.
  • Familiarity with UCSB financial, purchasing, timekeeping, and maintenance work order systems.
  • Ability to communicate in Spanish.
  • Working knowledge of a storeroom, inventory, and purchasing practices and procedures used in the receipt, storage and distribution of supplies/merchandise.
  • Demonstrated skills in verbal and written communication, active listening, change management, critical thinking, multi-tasking and time management.
  • Demonstrated work experience in implementing and monitoring customer service standards.
  • Demonstrated experience in collaboration and team driven projects.
  • Computer skills demonstrating the use of Microsoft Office programs, Gmail, Google Calendar, and Google Docs/sheets.
  • The ability to work in a multi-cultural team environment.

Job Functions and Percentages of Time:

  • 25% Management - Manage all functions and daily operations of the Furniture Services & Surplus Sales unit within Distribution & Logistical Services (DLS). Responsible for personnel actions including interviewing, hiring, onboarding, training, supervision, annual performance evaluations and disciplinary actions. Reviews & approves timecards in accordance with campus timekeeping deadlines. Ensure that personnel understand their roles, responsibilities, and scope of authority to effectively carry out their job functions, and that all personnel policies and collective bargaining agreements are adhered to. Provide coaching and leadership to staff to promote a teamwork culture and staff that exemplify the WE CARE values of HDAE. Provide support to the Director of DLS and peer Managers across Residential Operations to create efficient logistics management systems, workflows, and processes. Assists with the submission of the periodic Rate & Recharge package. Researches best practices at peer institutions and recommends updates to policies and procedures that plan for future challenges, opportunities, and new service areas. Manages the implementation of changes in policies and programs.
  • 50% Furniture Services - Directly manages the scheduling, assignment, and deployment of full-time and student staff to over 1,700 job requests annually such as deliveries, moves, installations, and the setup or takedown of events. Consults with departments across campus on space optimization and minor renovation needs. Advises departments on selecting modular or conventional furniture options that suit their operational needs. Coordinates with departments on procurement planning and supports the preparation of itemized component lists for purchasing. Provides timely and accurate cost and time estimates for all design and relocation projects. Closely collaborates with customers and departmental personnel to clarify service requests, determine requirements, and develop estimates for the labor, materials, and equipment necessary to fulfill the essential services request. Ensures manageable scheduling of crews, adjusts priorities in response to urgent or conflicting requests, monitors work in progress for efficiency or process improvement, inspects completed assignments, and follows up with campus departments to ensure expectations have been met or exceeded. Collaborates with the departmental Operations Service Center (OSC) and Business unit staff to ensure consistent workflows and processes are followed to receive customer requests, establish recharge billing parameters, schedule reasonable workload, and account for labor, material, and equipment as well as technician comments to promote greater accountability and transparency. Collaborates with the Business unit on final billing, and overall financial processing.
  • 15% Surplus Sales - Coordinates with the Surplus Sales program to manage the pickup, transfer, and staging of surplus property and equipment. Monitors and manages work requests to ensure inventorial equipment and surplus property is properly identified, documented, and handled. Ensures all processes are carried out in compliance with UC Business and Finance Bulletin 38 and other relevant UC policies. Supports proper documentation and inventory control of surplus property to facilitate redistribution, public sale, auction, donation, e-waste, recycling or disposal. Advises departments on procedures and assists in resolving issues related to item ownership, tagging, and logistical complications. Develops and sustains collaborative working partnerships with Business & Financial Services, Residential Operations, Facilities Management, Environmental Health & Safety, all academic departmental leaders and managers, and outside vendors to support the financial tracking of surplus sale revenue, warehouse space utilization, inventory control, and other related programs to meet the needs of departments across campus.
  • 10% Other - Works as a team member with a diverse student body and staff. Develops, promotes, and adheres to safety rules, standards or techniques as an integral part of daily work. Works closely with other departmental and campus managers to effectively achieve the goals and objectives of HDAE. Volunteers and serves on workgroups and/or special committees to support the organizational development of HDAE and the objectives of the Administrative Services division. Performs other duties as assigned based on operational need.
