Position Summary

The Salvation Army Northern Division Headquarters (DHQ) in Roseville, MN, is committed to "Doing the Most Good" by supporting worship, housing, and service centers, addressing community needs, and administering emergency disaster services.

The Administrative Assistant III provides comprehensive administrative support to the Executive Director of Development (EDD), who oversees fundraising, marketing, and volunteer coordination for the division. This role manages the EDD's calendar, processes volunteer applications, prepares donor correspondence, facilitates communication with Board Committees, and serves as a point of contact with staff, volunteers, and community leaders. The position also handles routine clerical duties, maintains organized records, and processes departmental expenses.

$21.03 - $25.88/hour, 40 hours/week

Essential Functions (approximate time spent)



  • Administrative Support (25%): Perform administrative and clerical tasks for the EDD, including monitoring and responding to department phone calls and emails.
  • Volunteer Application Processing (25%): Process volunteer applications, including background checks and MVR forms.
  • Calendar Management (15%): Maintain the EDD's schedule, providing reminders and arranging appointments.
  • Board Committee Coordination (10%): Coordinate communication for Board Committees, including arranging meetings and refreshments, taking and posting minutes, onboarding new members, and facilitating follow-up actions.
  • Donor Correspondence (10%): Produce letters for Tribute, Memorial, and Gifts-in-Kind donations.
  • Liaison Duties (5%): Serve as a liaison between the EDD and Salvation Army personnel, volunteers, and community leaders, as requested.
  • Invoice and Expense Processing (5%): Process department invoices and expenses for payment.
  • Records Management (5%): Maintain organized, up-to-date physical files, digital files, and databases.



Education and Experience



  • High School diploma or equivalent required; two years of college coursework is preferred.
  • Minimum of two years of relevant administrative experience required.
  • Executive Assistant experience preferred.
  • Must pass background checks, hold a valid driver's license, and clear an MVR check.

Working Conditions



  • Primarily sedentary work involving extended periods of sitting and computer use.
  • Professional office environment; position is not eligible for remote or hybrid work.
  • Standard business hours with occasional evenings and weekends required.
  • Must be able to lift and carry up to 20 pounds occasionally.



Driving/Travel Requirements



  • Operate agency vehicles in support of program operations and organizational objectives.
  • Occasional local travel is required; rare out-of-town or overnight travel may be necessary.



Other Duties



  • Provide front desk backup coverage (e.g., answering phones, controlling building access).
