We're searching for an Administrative Clerk who loves a fast-paced environment and takes pride in keeping things running like a well-oiled machine. You'll be the go-to person who makes our inspection team shine-getting schedules in order, helping customers, organizing data, and keeping daily operations flowing smoothly.

Experience with affordable housing or property management systems is great, but your enthusiasm, adaptability, and willingness to learn are what will make you a standout.

What You'll Do
  • Keep the inspection team moving by handling essential clerical and administrative tasks-data entry, filing, document prep, and mail distribution.

  • Own the inspection schedule: maintain calendars, confirm appointments, and help manage any rescheduling needs.

  • Update inspection timelines, customer records, and related information using tools like Emphasys Elite and Smartsheet.

  • Prepare letters, packets, and meeting materials that help our work stay organized and clear.

  • Answer calls and emails with professionalism and a friendly attitude, routing inquiries to the right team members.

  • Maintain accurate records and ensure inspection information is documented promptly and correctly.

  • Partner with internal teams to ensure inspections and related workflows stay compliant and on schedule.

  • Deliver outstanding customer service by addressing questions and concerns about inspections and scheduling.

  • Support office operations with tasks like invoice processing, ordering supplies, and maintaining files.

  • Jump in on special projects that support inspection operations and help improve our processes.

  • Take on other duties as assigned by supervisors and every day is a little different!

What You Bring
  • High school diploma or equivalent (required).

  • At least one year of administrative experience preferred; affordable housing experience is a bonus.

  • Strong skills in Microsoft Office (Excel, Word, Outlook).

  • Experience with Elite is a plus.

  • A positive, flexible attitude and readiness to support a mission-driven team.

Physical Demands & Work Environment
  • Occasional standing and walking; frequent sitting.

  • Regular use of hands, keyboarding, and computer work.

  • Frequent talking/hearing and visual focus for detailed tasks.

  • Ability to lift or carry up to 25 lbs occasionally.
