The Office of Multicultural Affairs for Health Professions Learners (OMA-HPL) at the School of Medicine and Public Health is seeking an Administrative Assistant to provide general administrative support to department staff, assist in coordinating day-to-day office operations, and to manage the schedule and administrative tasks of the Assistant Dean of OMA-HPL. This position will be located in the office's reception area.

This position is full or part-time, 80%-100%

This position will require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Key Job Responsibilities:
  • Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
  • Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums
  • Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
  • Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures

School of Medicine and Public Health, Office of Multicultural Affairs for Health Profession Learners (OMA-HPL), Office of Multicultural Affairs.

The Office of Academic Affairs (OAA) in the School of Medicine and Public Health (SMPH), supports SMPH by overseeing all aspects of various health professions education programs: from admissions programs and curricular oversight to student services and multicultural initiatives across our statewide campus. It also is responsible for successfully meeting all national accreditation requirements as well as timely compliance with all health system, school, campus, and legislative policies and regulations. The OAA fosters a professional atmosphere to prepare health care providers and public health professionals at all stages of career development.

The OMA-HPL was established to provide academic opportunities for students underrepresented and marginalized in the health professions and to create learning environments that foster academic success for all students. It provides guidance for educational partnerships, summer research opportunities, and initiatives targeted toward expanding all representation in health professions.

Compensation:

The starting hourly rate for this position is $22.31; but is negotiable based on experience and qualifications.

Required Qualifications:

  • Excellent administrative and organizational skills: Demonstrate knowledge of administrative practices and general office systems (word processing, spreadsheets, file management, scheduling software, etc.). Demonstrate understanding of meeting logistics (both in-person and virtual), including scheduling, preparing comprehensive agendas, documenting accurate minutes, and tracking action items.
  • Excellent communication and customer service: Demonstrate ability to manage high volumes of communications and provide timely follow-up to meet operational needs, demonstrate a commitment to customer service and key partner engagement.

Preferred Qualifications:

  • Experience in a higher education academic environment working with various constituents, from students to Deans/senior administration.
  • Experience working independently and proactively solving problems.

Education:

H.S. Diploma preferred
