Job Summary:

The University of Colorado School of Medicine's Office of Medical Education (OME) is seeking a detail-oriented and mission-driven professional to join the Graduate Medical Education (GME) team as a GME Business Services Professional - Contracts.

In this full-time University Staff position, you will play a key administrative role supporting the training of over 1,200 residents and fellows across affiliated teaching hospitals. This position serves as a vital liaison for these future physicians, researchers, and healthcare leaders, with responsibilities including managing Program Letters of Agreement (PLAs), coordinating incoming and international rotations, and ensuring compliance with accreditation and institutional requirements. The role requires strong independent decision-making and offers the opportunity to make a meaningful impact on the operational and regulatory success of GME programs.

Supervision Received: This position reports to the GME Compliance Manager.

Supervision Exercised: This position has no supervision, however, must maintain successful working relationships with internal and external partners.

Key Responsibilities:

PLA Systems Management -

  • Oversee the full lifecycle of Program Letters of Agreement (PLAs) for all ACGME and non-ACGME GME programs, including coordination, drafting, review, and execution.

  • Develop and maintain systems for tracking, organizing, and storing current and historical PLAs using MedHub and DocuSign, ensuring compliance and accessibility.

  • Manage new PLA requests and site additions, ensuring accurate documentation and integration within MedHub systems.

PLA Communication and Coordination -

  • Serve as the primary liaison for GME agreement processes, maintaining communication with program coordinators, external partners, and legal stakeholders to ensure timely execution and compliance.

  • Coordinate contract review, language updates, and approvals in alignment with ACGME, CU, state, and federal requirements, while ensuring agreement accuracy and cohesion.

  • Track and report on agreement statuses, maintain a centralized agreement library, and ensure updates are made promptly based on programmatic or regulatory changes.

International Rotation/International Conferences Oversight-

  • Develop and manage procedures for international rotations and conferences, including application review, documentation accuracy, and coordination of School of Medicine officer approvals for resident and fellow travel.

  • Collaborate independently with the University of Colorado Office of Global Education to ensure all international travel complies with institutional and regulatory requirements.

External Rotators Management-

  • Establish and manage a system for overseeing external rotators from outside institutions, including application, documentation, and timeline tracking.

  • Coordinate required agreements, compliance reviews, and system access (e.g., EPIC) in partnership with training programs and the GME Compliance Manager.

Work Location:

Hybrid - this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings. Additional on-site days may be required as needed. Please see the campus-wide policy for additional information.

Qualifications:

Minimum Qualifications:

  • A bachelor's degree in business, business administration, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.

  • Two (2) or more years of professional level experience in business services, procurement, contracts, public administration, or graduate medical education.

    • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Three (3) years of professional experience in business services, procurement, contracts, public administration, or graduate medical education.

  • Prior experience in higher education working as a full-time professional.

  • Prior experience in graduate medical education.

  • Prior experience independently reviewing and liaising on contracts.

  • Prior experience adhering to and communicating about policies and procedures.

Knowledge, Skills and Abilities:

  • Ability to learn new software.

  • Ability to communicate clearly, both in writing and orally.

  • Ability to analyze and interpret data and perform basic mathematical calculations.

  • Ability to establish and maintain effective working relationships with employees at all levels throughout an institution.

  • Ability to learn policies and procedures and effectively convey the information to stakeholders.

  • Mission driven - seeks out the why behind the work.

  • Collaborates effectively within a team environment.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as $58,792 - $74,784

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
