Posting Summary |
Rutgers, The State University of New Jersey, is seeking an Administrative Assistant for the Office of Information Technology. This position plays a critical role in ensuring the sooth day-to-day functioning of the office.
Among the key duties of this position are the following:
- Provides administrative office support, including but not limited to assessing office supply needs, scheduling virtual and in-person meetings, calendar management, reserving conference rooms, delivering mail, entering facility requests, and various administrative needs as determined by leadership.
- Enters purchase orders, expense reports, contract renewals in the purchasing system and track expenses in the department centralized financial tracking databases.
- Assists in the planning and execution of both team and department events and celebrations, identifying onsite locations, purchasing of event supplies, and logistical assistance to help ensure smooth and successful events and celebrations.
- Collects data needed for department cyclical reporting, which will be utilized for report preparation and submissions by Directors and Managers.
- Assists in the preparation of presentation, communication materials, and updating a departmental Sharepoint site under the guidance of managers and directors

Qualifications
Minimum Education and Experience |
- A bachelor's degree in a related field, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, organization, coordination, facilitation, bookkeeping and/or report writing.

Required Knowledge, Skills, and Abilities |
- Good communication skills and computer literacy.
- Experience with desktop productivity tools (MS Word, Excel, and PowerPoint.
- Familiarity with virtual meeting collaboration tools (Zoom, Webex, Teams).

Preferred Qualifications |
- Knowledge of Cornerstone applications (SciQuest, Oracle Financial Manager, Tableau, Concur) Smartsheets, and SharePoint.
