POSITION SUMMARY
Provides administrative and office operational support for Alterra Mountain Company in Denver. The individual will serve as the face of Alterra. They are hospitality focused and serve as the first point of contact between guests, employees, and vendors, while creating an inclusive and engaging community. This position provides administrative and project support to Human Resources while providing primary front desk duties on a day-to-day basis.
GENERAL RESPONSIBILITIES AND DUTIES
Office Coordination
- Professionally and hospitably greets and welcomes guests to our office space.
- Build strong relationships with colleagues and frequent visitors.
- Respond to telephone calls, emails, and visitors in a prompt and friendly manner, ensuring that each caller, visitor, client or job candidate has a positive first impression of Alterra Mountain Company
- Maintains kitchen and common area cleanliness, including but not limited to, running dishwashers, wiping down counters, etc.
- Ensures snack and beverage bars remain stocked throughout the day.
- Anticipates office needs before they happen to maintain and enhance colleague and visitor experiences alike.
- Orders and maintains office supplies inventory.
- Ensures catering staff has proper equipment and supplies for weekly catering.
- Executes weekly bagel setup/clean up and bill processing.
- Provides office and administrative support including the sorting and distribution of incoming/outgoing mail and prepares shipping of packages.
- Maintains office operations manual and creates office forms as requested.
- Assist in booking meetings and office events, sets up schedules for candidates as directed, and may be required to provide project support as needed.
- Assists with office activities and functions to maintain efficiency.
- Assists People Experience Manager in program and event planning, set up/tear down, and run of show.
- Works in tandem with Executive Assistants in planning and execution of Executive Leadership Team meetings which includes, but is not limited to, maintaining conference room cleanliness, meal deliveries, and external attendees greeting.
- Assist with identifying office repair needs.
- Performs other related duties as assigned.
Human Resources
- Sets up new hire office/cubical space prior to hire date and ensuring they have everything they need on day one.
- Updates seating chart on weekly basis & add new hires/terminations to seating chart.
- Distribute/Re-Issue RTD passes, parking information, security access and communicates with IT on new hire needs.
- Create and distribute Wifi cards monthly.
- Assist the Accounting-Procurement team with coding and sending invoices.
- Miscellaneous responsibilities include but are not limited to: Provide Real Deal vouchers to employees and their dependents, create and renew WiFi access as needed, help enforce front-desk portion of PCI compliance (guest sign-in; creation, distribution, and collection of visitor badges; etc.).
- Other duties as assigned.
EDUCATION AND EXPERIENCE
- High School diploma required; 1-2 years of experience or equivalent combination of education and experience preferred.
- Strong organizational skills and ability to write and communicate directions clearly.
- Organized and detail-oriented with a strong habit of follow-through.
- Self-motivated, guest-oriented, works well under pressure.
- Positive, energetic attitude towards guests and peers.
- Professional, friendly manner and appearance.
- Proficient in Microsoft applications including Word, Excel, PowerPoint.
The base hourly pay range below represents the low and high end of the Alterra Mtn Co Shared Services Inc. hourly pay range for this position. Actual pay will vary and may be above or below the range based on various factors including but not limited to experience, education, training, location, merit system, quantity or quality of production, responsibilities, and regular and/or necessary travel. The range listed is just one component of Alterra Mtn Co Shared Services Inc.'s total compensation package for employees. Other rewards may include short-term and long-term incentives and many region-specific benefits.
Denver area base hourly pay range: $18.27 to $23.00 per hour
