Part-Time Administrative Assistant, Marketing & Public Relations
Hourly Rate: $17.60
This position is an on-campus, part-time, up-to 19-hour appointment based in Champaign, Illinois.

The Administrative Assistant for
Marketing & Public Relations is responsible for organizing and facilitating
the operational flow of the department, greeting and directing visitors, and
providing clerical support to the Director and departmental staff which
includes Marketing & Public Relations, Print Shop, and Mailroom. The Administrative Assistant of
Marketing & Public Relations is a part-time, hourly appointment on a
schedule established by the Director. The position requires the ability to
communicate diplomatically, clearly, and effectively both verbally and in
writing and to maintain positive working relationships with other employees.
Work contacts include staff, faculty, administrators, vendors, and community
members.

Essential Job Functions:
- Provide clerical support to the Director and departmental staff; maintain and manage calendars and databases; schedule meetings; coordinate calendars with assistants in Vice-President's Office.
- Handle all inquiries (walk-in, phone, and email) from students, faculty, staff, and administrators that come into the office.
- Provide daily front desk coverage.
- Process all name tag/plate orders.
- Handle all travel arrangements, conference registrations, accommodations, and reimbursements.
- Purchase office supplies; maintain efficiency in office operations.
- Purchase and maintain stock of college promotional items; serve as point of contact for vendors.
- Oversee management of multiple budget lines; reconcile P-Card expenditures; process requisitions and other forms.
- Maintain positive relationships with administrative assistants, department chairs, and administrative staff to coordinate activities, and carry out other duties.
- Other duties as assigned.
Minimum Requirements:
- Associates degree; OR three (3) years related office experience; OR an equivalent combination of education and work experience.
- Experience with bookkeeping or accounting.
- Excellent customer service and interpersonal skills.
- Ability to multitask and be detail oriented.
- Verbal, mathematical, and technical abilities sufficient to produce printed materials, communicate effectively, and perform other duties.
- Functional ability in Microsoft Office applications, with the ability to learn new programs as technology changes.
- In an effort to comply with SURS return-to-work restrictions for employers (40 ILCS 5/15-139.5), candidates for employment at Parkland College must either not be a SURS annuitant or must be willing to suspend his/her SURS annuity upon employment. This applies to all SURS annuitants except those receiving their annuity under either the Self-Managed Plan (SMP) or by lump sum payment.
