Administrative Operations Analyst
Job Summary The anticipated duration of this temporary assignment is approximately 3 months.
Key Responsibilities:
Administrative Management
Oversee and maintain all administrative systems for smooth and efficient operation of the Derm Surgery Faculty including, calendar, travel, correspondence and filing. Expected to independently coordinate and manage a broad range of confidential, complex and high-level issues for all the Derm Surgeons. Monitor 5 Derm Surg Faculty long-range activities and commitments and have independent authority to make scheduling decisions on their behalf. This involves independent analysis and decision making that is framed by and often impacts other faculty, campus officials, University officials, and outside entities. Must be able to multi-task effectively and independently in a fast-paced, high volume, high profile office with frequent critical deadlines and constantly shifting priorities. Able to manage multiple projects while encountering multiple interruptions.
Correspondence & Document Management
Coordinate, prepare, edit and/or compose correspondence, presentations, and letters of support, nomination packets, and professional papers. Independently oversee the flow of all written correspondence to and from surgeons, ensuring that data is accurate and pertinent, assuring compliance with policies and procedures. Responsible for the management, storage and retrieval of information for surgeons, vetting documents for signature and responding to correspondence for action. Manage surgeons work-related financial matters. Exercise sound, professional judgment in dealing with confidential work problems, resolve high profile problems, and make recommendations in their absence.
Meetings & Event Planning
Organize department faculty meetings and executive leadership meetings. Manage special events, including faculty achievements celebrations; annual multi institutions retreats; faculty lunches; receptions; invited endowed lectures' and receptions for alumni. Related tasks include: preliminary meetings with principals to define purpose and tone of each event; establish and manage budget; select sites; select vendors; negotiate contracts.
Educational Coordination & Fellowships
Coordinates implementation of professional health educational activities, which may include program competencies, curriculum, and exams. Dermatology Fellowship Coordinator for 2-3 Derm Surgery Fellows per year: Full responsibility for the coordination and planning of the following program ACGME Procedural Dermatology Fellowship (2-3 fellows), beginning with the online application, interviews, appointment and orientation process as well as supporting the Resident Education Committee. Department liaison/coordinator for fellow related issues such as site review visits, internal audits, interdepartmental offices and drug companies in person, in writing or by phone. Manage and produce complex training program curriculum and schedules. Coordinates and updates SFMatch, the fellowship application system, reviews, downloads and processes all applications for review by faculty. Arranges interviews and coordinates with all selected candidates including scheduling individual schedules and ensuring compliance with University standard for physicians interviewing with the healthcare system. Works with the GME Office and Dermatology Academic Office to appoint matched applicants at all appropriate sites including adherence with all current policies including CA state licensure, DEA and other mandated credentialing prior to the beginning of their appointment. Supports and works closely with the fellows and physicians on their scheduling including vacation and education leave and serves as a reference and point of contact. Also assists in evaluations and all needed documentation for final completion of the program and board certification.
