Position Purpose:
The Staff Accountant I is responsible for ensuring the proper recording of revenue and cash and credit reconciliation for all areas of the business. The person in this position supports management in the evaluation of risks, works to ensure that best practices are in place in the areas of cash control and fraud prevention, will support the accounting team in all areas of general accounting, and assists with any accounting projects as they arise.
This is a hybrid role that requires three days per week in our Stratham, NH corporate office.
Essential Job Functions & Responsibilities:
Revenue Reconciliation & Assurance:
- Audit and reconcile retail, corporate gifting and ecommerce sales; research discrepancies and resolve through the engagement of appropriate internal IT contacts, 3rd Party support, and other resources as required. Analyze reconciliation errors to determine and correct root cause.
- Oversee the sales recognition process for all Retail divisions, ensuring that orders are loaded and properly recorded. Work closely with appropriate personnel to ensure the systems are functioning as designed and policies are being followed.
- Ensure timely and accurate processing of sales files through various systems.
- Perform monthly closing for Retail, Corporate gifting, and ECommerce sales.
- Partner with Retail team to ensure that store personnel apply correct register procedures to ensure proper revenue recognition.
Cash & Credit Card Reconciliation & Assurance:
- Record and reconcile daily cash deposits for all retail stores. Conduct monthly bank reconciliations for all retail store accounts. Perform monthly journal entries to book bank charges and related fees to the correlating store; adjust accounts as required.
- Through ongoing review and reconciliation of cash and credit cards, highlight variances and advance to the appropriate level as required for research and resolution. Report all over/shorts or store compliance problems to proper personnel and bring any other unusual patterns or problems to the attention of appropriate management.
- Assist in the month-end review of all retail cash and prepare reports for management approval. Perform analytic review of month-end variances to ensure root causes are identified and solutions developed and implemented.
- Monitor retail bank balances and perform fund sweeps as required.
- Record and reconcile credit card transactions and collections for Retail, Corporate Gifting and Ecommerce. Conduct monthly reconciliations and perform monthly journal entries to book all fees and ensure proper recording as well as perform ongoing review of chargebacks for Corporate Gifting, Ecommerce and Retail to ensure proper accounting of cash and sales.
Retail Store Setup and Compliance:
- Partner with the Retail Operations team to plan and execute store openings in a timely and efficient manner.
- For all new retail locations, perform bank selection and set-up and courier setup as needed. Ensure that Retail Operations and store personnel have necessary bank information as well as supplies and deposit slips.
- Ensure that new and existing retail locations are registered and prepared to accept credit card payments, and that said payments will be received, reconciled, and recorded appropriately in ERP and all internal systems.
- Research business license requirements and file for licenses at all new stores. Maintain licenses on an ongoing basis for all stores.
- File timely and accurate property tax returns and payments for each required jurisdiction state.
General Accounting & Reconciliation:
- Provides timely, accurate, and valuable inputs to the monthly close process, including various accruals, account reconciliations, and reporting.
- Assists with monthly financial close activities.
- Loads and reviews contracts and loads them into the Contract Management System to ensure all contracts are properly recorded and maintained in CMS.
- Certificate of Insurance administration to ensure COIs remain up to date and properly stored.
Systems Integration & Development:
- Extracts data from various internal systems; compiles and assembles relevant information into spreadsheets/reports; identifying and researching anomalies and works with appropriate departments to improve data and procedures.
- Assists in mitigating any financial or consumer impacts.
- Brings suggestions forward to help formulate plans for corrective action and supports the implementation of corrections/enhancements when needed.
- Partners with IT, Retail, Ecommerce and Corporate Gifting on the development and testing of system design fixes and improvements. Ensures that financial requirements are met within the system design.
- Actively participates in the continual strengthening of internal controls through process analysis and risk assessment with a focus on automation, streamlining workflow processes and procedures, and presenting findings and recommendations to Management.
