Job Summary The Facilities Coordinator is responsible for providing support to the General Maintenance Team, including coordinating internal and vendor work orders to facilitate various repairs, inspections, and maintenance services throughout the organization. Essential Functions MicroMain Work Order Management *Converts service requests to work orders and brokers to either internal work teams or external vendors. *Assigns work to specific technician or coordinates with vendors to execute work while providing updates and maintaining consistent communication with customers. *Enters and completes daily updates in the system to reflect the most current data and work order status for effective and efficient processing. *Compiles and includes supporting documentation & invoices to work orders for tracking and historical records. Preventative Maintenance Work Order Management *Ensures all Corporate, Manufacturing and Retail locations have all preventative maintenance scheduled and executed. *Assigns preventative maintenance work orders according to internal or external vendors. *Maintains effective communication with customers regarding assigned technician and when work is expected to be performed. *Tracks and updates work order statuses from initial request to completion, and ensures system is updated daily to reflect real-time status of jobs and dashboards. Supply Management *Tracks inventory and orders supplies and equipment. *Replenish and stocks supplies, as necessary. Communication, Collaboration and Support *Issues work orders to vendors supporting General Maintenance and Facilities operations. *Serves as the liaison between customers and vendors to ensure effective and consistent communication and service updates. *Helps establish company expectations to hold vendors accountable for work order execution and escalates issues to management when necessary. *Works independently and cross-functionally to establish and maintain effective internal and external partnerships. *Performs additional duties and assists with special projects as assigned. Minimum Qualifications *HS Diploma or equivalent. *Experience in office administration, project management, facilities management or similar work. *Basic proficiency in Microsoft (MS) Word, Excel and Outlook. *Excellent communication and interpersonal skills. *Strong collaboration with ability to maintain effective partnerships with internal departments and external customers. *Results-driven problem solver with a strong analytical approach. *Effective organizational skills with proven ability to prioritize and coordinate multiple tasks successfully. *Ability to safely lift up to 20lbs with appropriate equipment and/or assistance. *Ability to travel to various work locations as business need requires. Preferred Qualifications *Demonstrated proficiency with Excel and/or Smartsheet. *Familiarity with MicroMain or other similar workorder management systems. Equal Opportunity Employer
