RESIDENCY PROGRAM COORDINATOR

The Residency Program Coordinator provides administrative oversight and support to the Radiology Education Program, which consists of 11 radiology residency and fellowship training programs; and assists the Education Director and Education Administrator with all accreditation, scheduling and associated program management duties. Ensures the program delivers maximum benefit and experience for residents and the Montefiore institution, collaborating on a wide range of programmatic issues including long range planning, recruiting trainees, managing projects, maintaining databases, onboarding and orienting all new trainees, and managing internal and external program relations.

RESPONSIBILITIES:

Maintenance of accreditation to the Accreditation Council on Graduate Medical Education (ACGME) for eight accredited training programs

Help manage the house staff recruitment process for all PGY levels including Visa status assurances, statistics, interviewing, ranking, setups, schedules and finances for 11 radiology residency and fellowship programs.

Serve as primary point of contact for residency and fellows, faculty, and program leadership, addressing inquiries and providing guidance as needed

Manage fellowship scheduling, including rotations, conferences, and other educational activities

Maintain accurate records and databases related to residents and fellows, faculty, and program activities

Manages the radiology residency skills lab including scheduling and coordination of resident hours in the lab and procurement and maintenance of the equipment. Documents all lab hours completed by residents.

Participates in standing and ad-hoc committees that review and monitor curriculum planning, sub specialty goals and objectives, and evaluation process for each training program.

Manage and coordinates all special lectures for faculty and resident education, include the monthly Grand Rounds lecture series and Annual Business and Economic lecture series.

Plan and coordinate all social activities related to House Staff Training Programs and Department and ensuring that they are within budgetary considerations

Manage and coordinate the onboarding and credentialing of all radiology residents and fellows.

Supervise and manage the formal process of all House Staff evaluations on a monthly basis related to performance and updated credentialing procedures including the entering of all case logs in the national, ACGME case log system.

Coordinates and supervises the completion and timely and accurate entry of all House staff schedules, including monthly rotation, night and weekend call into the residency data management system, New Innovations.

Track, report, and ensure compliance with procedures regarding licensing, annual contracts, and initial and re-credentialing of trainees.

Works closely with the medical school education coordinator for medical student rotations to ensure cohesive schedules

Assists with completion of various surveys for all appropriate organizations related to house staff

Oversee introductory course for new trainee orientation and graduating residents and fellows.

Manage and monitor 75 Faculty members daily schedules and on-call responsibilities through QGenda.

Enter and track all reimbursement and check requests in INFORM system for each resident and fellow

Participate in and assure that all CCC/PEC committee meetings are scheduled for each of the training programs and minutes and attendance sheets for each meeting are documented and submitted in the Annual Program Evaluation.

Act as a liaison between residents and hospital administration

Help Prepare Annual Program Evaluations (APE) of each program for both Graduate Medical Education Office

Maintain databases of current House staff and for alumni.

Develop brochures, invitations, or advertisements for events/lectures

Coordinate visiting residents for observerships

Complete verification of training for all past and present trainees as needed

Maintain resident assignments for monitoring of Duty Hours via New Innovations for regular review of data reports by GME Administration

Maintain the ERAS database (Electronic Residency Application System) and oversees its processes during the recruitment seasons

Oversee the maintenance of filing, record keeping, distribution of materials, and other types of program systems

Evaluate and standardize program procedures and effectively troubleshoots and resolves issues

Create and maintain external program advertising/media through websites, brochures, publications and other such media. Create/edit annual publications regarding the program. Maintain program's educational portion of website.

REQUIREMENTS:

High School Diploma

Minimum 3 years work experience

General Business Office experience.

Experience in Graduate Medical Education

Software: Microsoft Office, Excel

Associate's Degree
