Pay Range:

$91,320 - $111,840 Annually

This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting; pay will not be below any applicable local minimum wage. Job Description

We are looking for an Office Administrator to apply their talents and expertise in support of the Nonproliferation Research and Development (NPRD) Program. In this role, you will work independently to plan, develop, perform, and coordinate a wide range of advanced and diverse administrative activities and complex projects with changing variables and multiple factors that are not easily answered by standard procedures. This position reports to the Nuclear Threat Reduction (N) Program within the Global Security Principal Directorate.

In this role, you will

  • Serve as the primary point of contact for NPRD administrative matters related to NA22 funded projects and University Consortia activities; oversee, plan, and execute operational and organizational requirements.
  • Work with the external audit committee and Principal Investigators to manage on- and off-site Independent Assessments of NA22 funded activities, including securing facilities, managing logistics, distribution of administrative materials, and traveling approximately twice a year.
  • Coordinate and execute operational aspects of reporting related to DNN funded activities.
  • Develop, maintain, and optimize complex databases, spreadsheets, and tracking systems to monitor action items, ensure deadlines are met, and follow up on pending tasks.
  • Gather, interpret, and analyze data related to consortia student activities, including tracking the career trajectories of students from the point of transitioning into graduate programs in fields of national interest.
  • Conduct in-depth analysis of the data on areas of interest drawn by various National Labs, perform quarterly assessments of the collected data and compile comprehensive reports to be shared among LLNL points of contact, N Program Leader, and other National Labs, identify trends and patterns within the data.
  • Provide leadership and supervision to team members, including assigning tasks, monitoring performance, offering guidance, and supporting professional development to ensure quality and efficiency in achieving organizational goals.
  • Coordinate all administrative and logistical aspects of the annual, LLNL hosted, University Consortia related Summer School.
  • Analyze and solve problems of increasing complexity, implement new techniques and procedures, interpret policies, and provide recommendations to improve processes and establish best practices.
  • Review and validate documentation to ensure alignment with policies and procedures; identify compliance gaps and support the implementation of corrective actions.
  • Work with NPRD Event Coordinator to assist with preparation of off-site program reviews.
  • Provide logistical support, including transporting visitors at LLNL and Site 300 during tours and meetings.
  • Perform other duties as assigned.

Qualifications
  • This position requires an active Department of Energy (DOE) Q-level clearance or active Top Secret clearance issued by another U.S. government agency at time of hire. Also, you must have the ability to obtain and maintain Sensitive Compartmented Information (SCI) access.
  • Experience participating in and coordinating administrative and operational work activities and multi-faceted internal processes for the work unit and/or functional area.
  • Experience contributing to and leading organizational projects with the ability to understand, interpret, and apply related policies and procedures and apply advanced organizational skills, attention to detail, accuracy, and follow through. Demonstrated effective leadership and team-building skills.
  • Understanding of basic principles of personnel administration, policies and procedures and of HR compliance requirements for personnel administration (FLSA, ADA, EEO, etc.).
  • Effective analytical, problem solving and decision-making skills necessary to independently advise, resolve, recommend and approve appropriate actions to implement solutions.
  • Demonstrated effective interpersonal skills with the demonstrated ability to handle sensitive and confidential issues with tact, discretion, and mature judgment.
  • Experience in data gathering, compilation, and analysis, and proficiency in using data analysis tools and software.
  • Strong communication skills to effectively present findings and contribute suggestions for improvement.
  • Advanced knowledge of personal computers and associated software including MS Office applications and experience developing complex reports for use in management decision making.
  • Ability to travel two to four times a year.
  • This position requires a valid California driver's license.

Security Clearance

This position requires an active Department of Energy (DOE) Q-level clearance or active Top Secret clearance issued by another U.S. government agency at time of hire. Also, you must have the ability to obtain and maintain Sensitive Compartmented Information (SCI) access. Please note that your current active Q or Top Secret clearance with DOE or another agency does not guarantee DOE SCI access approval; if you are denied access, you may be subject to reinvestigation of your existing Q or Top Secret Clearance.
