Position Description
This position is responsible for ensuring the smooth operation of the clinic patient flow and serving as the primary contact for patients. Responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position is responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department. Work is performed in usual clinic conditions and requires a high degree of direct contact with patients, staff, and insurance companies. Employees may have cash-handling responsibilities.

Major/Essential Functions
  • Verify Insurance Eligibility and Benefits.
    • Accurately verify patient insurance coverage for upcoming appointments, diagnostic testing, and referred services.
    • Confirm and document copays, deductibles, coinsurance, plan limitations, and authorization requirements in the EMR.
    • Identify and address potential coverage issues prior to scheduling.
  • Obtain Insurance Authorizations.
    • Initiate and obtain prior authorizations for diagnostic procedures, office visits, specialist referrals, and surgical services as required by insurance payers.
    • Monitor authorization requests and follow-up to ensure timely approvals and prevent delays in patient care.
    • Accurately record authorization numbers, validity dates, and payer communication in the patient's chart.
  • Schedule Diagnostic Testing.
    • Coordinate and schedule diagnostic tests such as imaging (e.g., MRI, CT, ultrasound), lab work, and other procedures based on provider orders and insurance requirements.
    • Ensure all necessary documentation, approvals, and referrals are in place prior to testing.
    • Provide patients with clear instructions and appointment details.
  • Coordinate and Schedule Incoming Referrals.
    • Manage and schedule incoming referrals from both internal TTUHSC departments and external community providers.
    • Confirm medical necessity, insurance coverage, and required documentation prior to scheduling.
    • Maintain communication with referring clinics to ensure continuity of care and timely appointments.


Required Qualifications
High school diploma or equivalent. Three (3) years of customer service, office, or related experience, with two (2) of those years in a healthcare or dental clinic setting preferred. Additional education may substitute for the experience requirement.
